About the Job
VCI is seeking an Administrative Clerk for the U.S. Citizenship and Immigration Services (USCIS), Office of Equal opportunity and Inclusion (OEIO), Complaint Resolution Division (CRD). USCIS is the DHS component responsible for providing immigration benefits through a variety of USCIS offices located throughout the United States and international locations. The OEOI develops and delivers quality programs and services to ensure equal employment opportunity, promote and sustain a diverse workforce, and foster workplace accessibility and inclusion through the utilization of data-driven, strategic, and collaborative approaches.
Duties:
Provide virtual administrative support services on a reoccurring and an as-needed basis for the Alternate Dispute Resolution (ARD) program at the CRD. These services may be utilized during onsite or virtual team meetings, coordination of mediation sessions, town halls, and facility presentations, or other events as required.
General Tasks:
- Track ADR cases and program responsibilities to ensure professional and timely case processing in support of the ADR program including maintenance of the case tracking Excel Spreadsheet.
- Respond to customer inquiries professionally and timely through a shared email box, coordinating as necessary with the ADR Program Manager (PM) or other Subject Matter Expert
- Assist in responding to email communications timely using established templates and standard operating procedures.
- Validating invoices for accurate billing and coordinating with PM and TPOC for verification and invoice approval. 5. Record keeping and managing electronic files and records for CRD.
- Assist in the preparation, updating and maintenance of phone and email contact lists.
- Provide assistance with contacting and scheduling appointments; coordinate availability.
- Distributing information including answering and providing telephone and email support.
- Coordinate and attend meetings for the purpose of capturing and publishing meeting notes as directed.
- Facilitate agenda creation for conferences and meetings.
- Coordinate input from multiple sources such as divisions, sections, and leadership to prepare reports for Government approval.
- Monitor multiple general and specific delivery email boxes daily; review email and forward/route appropriately or prepare responses in a timely manner.
- Develop forms, announcements, surveys, or other ad hoc materials as determined for Government approval.
- Draft, format and edit publications, reports, procedural and instructional handbooks, correspondence and other general office documents and materials for Government review and approval.
- Provide daily briefings as necessary for the purpose of reviewing schedules via calendar(s) and daily activity planning.
- Support program requirements in pre-review, review, analysis and with reporting needs.
- Prepare ad hoc written reports, presentation materials and metric reports for Government approval.
- Review and reconcile documentation in electronic copy format, including editing, updating, consolidating, formatting and manipulating documents in applications such as; Word, Excel, OneNote, and/or PowerPoint.
- Track and complete mandatory Government training requirements.
- Ability to use multiple office automation software to produce a wide range of documents that often require complex formats, such as pivot tables, graphics, tables, editing and reformatting electronic drafts, and updating.
- Schedule, set up, coordinate and provide technical support for conferences and meetings as needed. Conferences and meetings may require support with teleconferencing, video teleconferencing, technical presentations and/or computer screen sharing.
- Provide data entry, information gathering and technical support in Government and proprietary USCIS systems, including CRD’s case management system, which is currently iComplaints.
- Scan documents into the designated electronic filing system and/or USCIS system and converting documents to other types of files using Adobe Acrobat Pro or other scanning software.
- Assist in maintaining the Enterprise Collaboration Network (ECN) (or comparable) web sites including updating information, making design changes and uploading material such as surveys, documents, photos, and resource links.
- Prepare, review and reconcile documentation in electronic and/or hard copy format, including editing, updating, consolidating, formatting and manipulating documents in software applications to include but not limited to Microsoft (MS) Word, Excel, PowerPoint, Publisher, and MS Visio.
- Develop and/or improve the quality of existing documentation for technical presentations and statistical reports in support of program management functions. Work products may be in applications including but not limited to MS Word, Excel, PowerPoint, Publisher, MS Visio and Internet browsers.
Technical Skills:
- Advanced knowledge and proficiency in Microsoft Office products
- Effective communication skills (both written and verbal) with the ability to prepare and make group/executive presentations
- Resourcefulness, initiative and skill to function in a fast-paced environment
- Attention to detail in goal/task accomplishment with minimal supervision
- Professionalism and the ability to interact effectively with others
- Ability to meet planned and unscheduled deadlines in a timely manner
- All personnel shall be able to work independently.
Qualifications
- High school diploma or GED
- Knowledge of Microsoft Office, Adobe
- US citizenship and English fluency
- Meet DHS Suitability Adjudication and Obtain Clearance. Must sustain said clearance throughout term
