GENERAL PURPOSE:
With minimal direction and latitude for independent judgment, manages the office and related administrative services for the Trauma Program. The trauma program Administrative Assistant will work in a fast-paced environment supporting the educational, organizational, outreach, and research efforts within the Adult and Pediatric Trauma Programs. Responsibilities include time and calendar management, ordering supplies for trauma program office and staff, tracking finances, and being a principal point of contact both internal to the university and external to the 16-county region for hospitals and EMS services for the Trauma Program Office. The trauma program Administrative Assistant will be responsible for coordination of meetings for all trauma program employees.
**SPECIFIC RESPONSIBILITIES:**
+ Coordinate, schedule, and manage all meetings through the trauma program. This includes collectively reviewing multiple calendars, creating zoom meetings, finding conference rooms when needed, and coordinating food when needed, and attending when meeting minutes are necessary. Will act as a point of contact for trauma program staff, external affiliates, internal staff, and liaisons.
+ Administrative support for all trauma program courses through URMC, American College of Surgeons (ACS), and the Society of Trauma Nurses (STN). This person would be responsible for booking rooms for the courses, ordering and setting up food, mailing books, preparing pre-course materials, scanning documents, and working closely with trauma program educator and coordinator to ensure courses run smoothly, finances are accounted for, and instructors remain current in their teaching status.
+ Education offerings include, but not limited too; Advanced Trauma Life Support (ATLS), Advanced Trauma Care for Nurses (ATCN), Rural Trauma Team Development Course (RTTDC), Disaster Management and Emergency Preparedness (DMEP), Mobile Trauma Skills, Onsite Trauma Skills Days, Stop the Bleed (STB), Trauma Certified Registered Nurse (TCRN) review courses.
+ Administrative support to the Trauma Program Managers for both daily activities and the ongoing American College of Surgeons (ACS) Trauma Center Verification for both Adult and Pediatric Trauma Programs.
+ These tasks include; ongoing administrative support for both program managers, scheduling and organizing meetings related to verification visit, organizes and assembles required documentation (including continuing medical education (CME), call schedules, CV’s, paging lists, and outreach/education proof)
+ Works with Trauma Program Managers and Division Administrator on financial management for trauma programs. Is a PCARD holder, and must track and provide proof for each transaction. Will be proficient in workday and keep up to date on any changes made University wide within financial management systems. Works collaboratively with the Division Administrator for ledger reconciliation by collecting all supporting documentation and reviewing monthly.
+ Coordinates all food, travel, room rental, payment, and other necessary arrangements for trauma related outreach and sponsored events/conferences.
**REQUIREMENTS:**
+ College graduation or an equivalent combination of experience and training.
+ Bachelor’s Degree preferred.
+ 1 years of relevant experience required; or an equivalent combination of education and experience required; 2 preferred.
+ Strong attention to detail and communication skills, including written and verbal communication. Knowledge in Microsoft applications such as word, excel, PowerPoint, and publisher. Excellent interpersonal skills, working collaboratively with different team members, and organizational skills.
