Title: Administrative Associate/ Senior Administrative Associate, Drug
Metabolism & Pharmacokinetics, Research, gRED
We are seeking a dynamic and proactive individual who thrives in a fast-paced scientific
environment to join our team! This key position provides accurate and efficient
administrative support to the Drug Metabolism & Pharmacokinetics Department and
play a critical role in building community and contribute to organizational goals.
Key responsibilities as an integral part of our team includes but not limited to:
Calendar Management: Efficiently manage and prioritize the calendars of multiple
Directors, coordinating various internal and external meetings, including in-person,
virtual and hybrid meeting.
Meeting and Event Planning: Coordinate and schedule onsite and offsite meetings,
arrange catering as necessary, provide on-site or virtual support during meetings, and
prepare requisite meeting materials and presentations
Expense Reports and Purchasing Card Processing: Assist Directors with compiling,
completing and processing expense reports. Manage company purchasing credit card
for the group, including reconciling purchases in a timely manner.
Team Support: Provide backup coverage to department Principal Administrative
Business Partner and resource to other Research admins (as appropriate) for
administrative duties and other miscellaneous functions whenever required.
Demonstrating flexibility, adaptability and positive demeanor.
Visitor and Consultant Arrangements: Coordinate and arrange visits for guest
speakers/consultants from the US and abroad including creating meeting schedules,
making travel arrangements, and processing expenses. Complete special
documentation requirements for visitors who are health care providers.
Office Management: Ensure team has current office equipment and materials
appropriate for the team’s work. Maintain department roster, organization chart, e-mail
distribution lists. Coordinate office moves and/or office conversions, and streamline
department administrative and operational processes and other miscellaneous
requests.
Preferred qualifications
Demonstrated capability to provide high-level administrative support to senior
executives in a dynamic environment.
Educational Background:
BS/BA degree,
AA degree with 4 years of administrative experience,
High School Diploma with 7 years of administrative experience or equivalent
transferable skills.
Technical Proficiency: Experienced with the Microsoft Office Suite (Word, Excel,
PowerPoint), and familiar with web-based tools such as Google Mail, Calendar, Drive,
Meet, Sheets, as well as Zoom and WebEx.
Communication Skills: Strong ability to draft professional correspondence, create and
adapt presentation materials, and interact efficiently with all levels of staff and external
contacts.
Confidentiality: Exercise good judgment and discretion when handling sensitive
information.
Self-Motivation: Capable of managing multiple projects and tasks with minimal
supervision, adapting to changing priorities.
Organizational and Problem-Solving Skills: Exceptional organizational abilities,
strong problem-solving, and decision-making skills.
Team and Customer Orientation: Strong collaboration, relationship-building skills, and
a dedication to customer service.
Industry Experience: Background in the pharmaceutical/biotechnology industry,
particularly in a research setting, is a plus.
