Administrative Assistant
REG Architects:

Responsibilities
- Assist the President and Vice President of REG Architects. Occasionally the Senior project management team as needed basis.
- Organize and manage the President and Vice President's calendar event, including making appointments, confirming appointments, cancelling appointments, and rescheduling of appointments.
- Organize and maintain records and documents related to architectural projects.
- Prepare documentation for meetings and attend the seniors project manager meetings.
- Answer phone calls, respond to emails, and communicate messages and information of projects and clients to the President and Vice President in a clear, concise, and timely manner.
- Setup of virtual meetings via Zoom or teams.
- Coordinate travel arrangements such as flights, hotels, and car rentals for President.
- Assist Business Development and Marketing Coordinator with writing company proposals for new potential projects.
- Assist Business Development and Marketing Coordinator with Request for Proposals (RFPs) and Request for Qualifications (RFQs) to ensure timely submissions per Business Development and Marketing Coordinator.
- Assist Office Manager with additional administrative office tasks on as needed basis.
- Collaboration with scheduling and event planning outside vendors.
Qualifications & Education
- Minimum associate degree, bachelor's degree is preferred.
- A minimum of 5 years' prior administrative work experience is required.
- Excellent written and verbal communication skills.
- Excellent time management and organizational skills.
- Ability to pay attention to detail and to multitask.
- Ability to work under pressure or under time constraints.
Software Knowledge
- Microsoft Office applications such as Outlook, Word, Excel, PowerPoint is required.
- Adobe Products Illustrator and InDesign, required.
