Overview:CAES Mission Systems in Woburn MA is seeking an Administrative Assistant. This role will primarily support site leadership team members with administrative tasks while also assisting in various HR functions. The ideal candidate is highly organized, proactive and will possess exceptional multitasking abilities, strong communication skills, and a keen attention to detail.
Responsibilities:YOUR ROLE AND RESPONSIBILITIES
This position will be responsible for supporting the CAES Woburn Leadership Team, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently. The Leadership Team includes Operations, Program Management, Human Resources, Finance, Contracts and Engineering.
- Organize and prepare for meetings, including gathering documents, serve as scriber when applicable and attending to logistics of meetings
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and correspondence with professionalism and discretion
- Assisting HR with employee events including organizing employee meetings, lunches, and other functions such as assisting with employee wellness and engagement activities
- Maintain various records and documents for Leadership Team
- Generating reports and presentations, consolidating data and preparing memos for distribution throughout the organization
- Making travel arrangements, scheduling meetings, and organizing all facets of customer meetings
- Preparing and submitting expense reports and general filing
- Manage office supplies inventory and place orders as needed
- Assist with internal mail delivery and phone calls where needed
- Order entry support for sales/marketing
- Recruiting coordination
HOW TO SUCCEED
- High School Diploma or GED and minimum 2 years’ experience in administrative support to leadership level roles (multiple people)
- Advanced skills in Microsoft Office (Outlook, Word, Excel, Zoom, Skype, SharePoint and PowerPoint)
- Ability to maintain confidentiality and discretion at all times
- This position requires access to technology, materials, software or hardware that is controlled by US export laws. In order to be eligible for this position, you must be a “US Person” under US export laws (or eligible for approval under a U.S. Government export license).
Preferred Qualifications:
- High School Diploma or GED and minimum 4 years’ experience in administrative support to leadership level roles (multiple people)
- Associates’ Degree strongly preferred
- Previous experience in coordinating training programs and employee social events
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Excellent organizational and communication skills (both verbal and written)
- Ability to prioritize and manage multiple projects simultaneously
- Strong knowledge of social media and interest in research
- Desire to grow with company and take on additional challenges and projects as they become available
- Strong time-management skills
- Proactive and resourceful approach to problem-solving
- High level of attention to detail and accuracy in work
- Interpersonal skills with the ability to engage with all levels of the organization
Salary Range: [Administrative Assistant]: $54,875 - $88,096 annually. Applicable pay within the posted range may vary based on factors including, but not limited to, geographical location, job function of the position, education, and experience of the successful candidate.
