Administrative Assistant
Responsibilities:
- Administrative Assistant will be scheduling meetings and taking notes during meetings
- Administrative Assistant will be working with HR Manager to make sure HR Manager and HR Department’s calendars are up to date
- Drafting and proofing documents and reports
- Creating spreadsheets and manipulating data in spreadsheet to show data the way it is best viewed
- Updating spreadsheet tracking budgeting or invoices (and making sure the HR invoices are on the general ledger)
- If something is created in PowerPoint, may be asked to rearrange the document (e.g. a sample organization chart)
- Monitoring the HR email inbox
- Administrative Assistant will complete data entry into ADP
- Pulling reports in various applications
- May add an appointment to a schedule or reach out to a candidate to coordinate an interview for HR Manager
- Filing – hard and soft copies
- Streamlining the filing systems – both hard copy and soft copy files
- Drafting offer letters
- Will set up a conference room if someone is onboarding that day, greet new hires, and prepare or help with the orientation
- May be asked to take notes during an interview or HR investigation or sit in/assist with paperwork during an employee separation
- Administrative Assistant will complete ad hoc tasks and projects, as requested
Requirements:
- At least 1 year of admin experience required for Administrative Assistant position
- Associate’s or Bachelor’s degree is a plus but NOT required
- Should have strong keyboarding skills and be able to type quickly
- Comfortable utilizing Microsoft Word, Excel (will gather and input data), and PowerPoint
- Should be comfortable learning technology – this role will also utilize Microsoft Teams, Adobe, and DocuShare
