POSITION SUMMARY
The Administrative Assistant performs duties that provide office services by implementing administrative systems, procedures, and policies to ensure effective and efficient operation. This individual will provide ownership and backup capabilities for transactional processing related to accounts payable, payroll, credit cards, etc. The Administrative Assistance must be a flexible and adaptable team-player, as well as have strong communication and client service skills.
MAJOR DUTIES & RESPONSIBILITIES:
- Greet all guests who arrive at the Manhattan Road & Bridge office
- Answer primary incoming phone lines and route calls accordingly.
- Manage incoming and outgoing mail.
- Maintain relationships with vendors and Division field staff that frequent the office.
- Liaison with Corporate, other Divisions, and Human Resource staff. Assisting the Division Operation’s Manager, Project Manager, Project Engineer, and Schedulers
- Responsible for completing new employee sign ups and basic personnel administration activities
- Process new applications and new hire documentation as well as coordinate drug test screenings.
- Transmittal of (new) hire documents to Human Resources.
- Coordinate (new) hire safety orientation with Safety Coordinator.
- Assists Accounts Payable with scanning and entering invoices then directing those to the person responsible for coding and approval
- Coordinating facility maintenance. Ordering supplies
- Other duties as assigned
The Administrative Assistant is a manager of a lot of recurring tasks – relationships, project records and reporting, and facilities; and is the primary back-office support for field crews, Project Manager, and Project Engineer / Scheduler and their needs and issues.
SKILLS, KNOWLEDGE, QUALIFICATIONS & EXPERIENCE
- Understanding of project accounting and administration procedures and techniques required.
- Must possess strong communications skills, working knowledge of personal computers and applications (i.e. Microsoft Word, Excel) and strong organizational skills. Ability to assume responsibility, interface and communicate effectively with others.
- Presentable appearance for an office setting.
MINIMUM QUALIFICATIONS:
- 2-year degree or equivalent combination of experience in administrative/secretarial
- Bilingual in Spanish

- Timeliness and integrity of required data submitted and maintained
- Assist jobsite personnel
