POSITION SUMMARY
The virtual Administrative Assistant provides high quality administrative support to the Chief Executive Officer/President. The person in this role must maintain professional appearance, decorum, and confidentiality always.
Note: This is a remote position. Hours are negotiable.
KEY FUNCTIONS & RESPONSIBILITIES
Works directly with the CEO/President in performing a variety of clerical duties as requested.
Provide administrative support with the ability to understand and anticipate challenges facing leadership executives and be able to manage/reschedule priorities effectively and proactively.
Maintains the highest degree of accuracy, quality, and efficiency.
Contributes to the achievement of established CEO/President goals and objectives and adheres to policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
Provide a high degree of judgment, discretion, and considerable knowledge of the organization, its policies, and staff.
Maintain confidentiality and use of discretion in all interactions.
Establish administrative systems within the office as needed and directed.
Manage/Maintain calendar(s) for CEO/President.
Participates in meetings as appropriate and as directed.
Attend and take minutes at executive and senior-level meetings as directed.
Prioritize and manage multiple projects simultaneously and follow through on issues independently and in a timely manner.
Research and provide recommendations on special projects/assignments.
Respond to routine correspondence and field a variety of inquiries via email and telephone.
Handle multiple projects simultaneously and meet deadlines.
Keep abreast of general business objectives, policies, procedures, standards, services, facilities, and related information to maintain a comprehensive awareness of the organization.
Demonstrate an enthusiastic, welcoming, quick, and responsive attitude with all staff, patients, and visitors in person, on the phone, or electronically to help set a positive tone throughout CCI.
Performs confidential special projects and research and prepares reports and correspondence for the CEO/President’s signature.
MINIMUM QUALIFICATIONS
Minimum 5 years supporting at the executive level; BA/BS preferred.
Demonstrated skills in managing issues involving high levels of sensitivity and confidentiality.
Demonstrated good judgment in prioritizing and handling complex demands and sensitive issues.
Strong communication, listening, interpersonal, oral and written communication skills.
Detail oriented; organized planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility.
Skilled at anticipating problems, creating contingency plans, managing multiple priorities, problem solving and organizing logistics.
Ability to persuade and influence, establish personal credibility and trust, and foster collaborative working relationships.
Detail oriented with superior problem solving, decision making, organizational, and time management skills.
Ability to complete high volumes of tasks with minimal guidance or supervision and deadline sensitivity.
Skilled at anticipating problems, creating contingency plans, managing multiple priorities, problem solving and organizing logistics.
Skilled in Business and Technical writing skills.
