JOB SUMMARY
In this position, the Administrative Assistant to Building Maintenance and Engineering provides prompt and efficient executive level administrative support for the Director of Facilities and property management department. The qualified applicant will be a vital member of the team to streamline daily operations, schedule inspections and maintenance services, and liaise with contractors and vendors.
JOB RESPONSIBILITIES
- Performs a full range of skills to research, compile, organize, and produce correspondence, reports, records, letters, meeting agendas, and proposals.
- Receive and triage calls, manage Director of Facilities' email accounts, and schedule meetings as directed.
- Manage, file and track contractor agreements, vendor agreements, purchase orders, maintenance work orders, and maintenance requests to completion.
- Schedule inspections and maintain an annual calendar of inspections to support the Director of Facilities and Maintenance Manager, as well as coordinate/schedule next steps until compliance is achieved.
- Assist with maintenance staff's attendance, time off requests, and professional development.
- Responsible for handling items of a confidential nature.
- Other essential duties as assigned.
JOB REQUIREMENTS:
- Associate or bachelor's degree in business administration
- 3 or more years of secretarial experience supporting building administration (preferred).
- Must have or the ability to obtain all clearances (FBI, State, & Child Abuse).
- Physical requirements include prolonged periods sitting at a desk and working on a computer, and having the ability to lift 10 to 20 lbs
