Granger Medical Clinic has an immediate opening for a Full Time Administrative Assistant at our Taylorsville Headquarters location.
Overview:
If you would like to be part of a great team, and make a difference within our company, we have a great opportunity for an Administrative Assistant who takes pride in their work, pays strong attention to detail, is highly organized, and has the ability to work with and keep information confidential. The role supports the Executive Assistant and management team with aspects of the company operation and administrative functions. Assists other members of the senior management team as needed. Acts as an office liaison with support team members and business associates. (Organizes communications to maximize effectiveness of the executive's time). This role will also be responsible for coordinating medical student rotations, drafting employment agreements, and typing meeting minutes.
Essential Functions and Duties:

Acts as primary contact between management and individuals within and outside of the company. Manages incoming calls, emails, correspondence, and in-person issues. Screens, or provides answers to minimize demands on executives. Ensures messages to and from the executive suite are communicated and handled.

Maintains executive calendars including, but not limited to scheduling, adding, and updating meetings, reserving meeting rooms, and confirming travel appointments. Alerts executives of approaching commitments and provides information to others regarding executive's schedule, as necessary.

Drafts, proofreads, and edits letters, memos and other documents in executive letter format and letterhead. Produces informational summaries by transcribing, formatting, inputting, editing, retrieving, copying, analyzing, and transmitting text, data, and graphics.

Prepares agenda, supplies, catering, and anything else needed. Prepares and submits executive's Business Expense Reports.

Makes travel arrangements for the executive team, other employees, and business associates, as necessary. Arranges flight, car and hotel reservations and event registration. Coordinates with other travelers. Provides executive with summary of details of itinerary prior to travel.

Handles miscellaneous requests for assistance from other employees, customers, and business contacts.
Qualifications:

College degree preferred

5+ years of related experience at an Administrative Assistant level

Advanced proficiency in Microsoft Suite to include Excel, Word, Outlook, and PowerPoint

Strong contract writing skills
-
Strong verbal and written communication skills
-
Strong organization and time management skills
-
Ability to manage competing demands effectively and prioritize and schedule demands on time
-
Experience with travel logistics and meeting planning
-
Professionalism and poise when working with Executives and the Board of Directors
