About the Job
We are currently seeking a full-time Administrative Assistant for our Tampa district office to coordinate day-to-day office administrative functions, including office organization, file and records management, office supply purchasing, mail distribution, client invoicing, and office maintenance. A success candidate works with minimal supervision, exercising initiative and independent judgment in the performance of tasks.
The position is an in-office position where the individual is expected to be in the office during business hours.

Responsibilities:- Supports the business needs of the district office.
- Relieves professional staff of routine administrative work.
- Answer phones and routes calls and messages to personnel.
- Assist with new business intake, entering information into database, addressing all elements of the job-sheet with accuracy (heavy data entry).
- Send client’s invoices and follows up via email and telephone on unpaid invoices.
- Answers the door, accepts packages and mail delivery.
- Coordinates express mailing of equipment shipped between district offices.
- Coordinates electric file shares of project data on behalf professional staff.
- Routinely interacts with paralegals and legal assistants to assist professionals with the coordination of depositions and trial appearances.
- Interacts with in-house counsel as needed when subpoenas and document request are received.
- Audits and archives electronic folders.
- Maintains all job-related files.
- Updates electronic project records.
- Orders office supplies.
- Performs other duties as assigned.
- Associate’s or bachelor’s degree from an accredited college or university is preferred.
- Excellent oral and written communication skills are required including business writing, editing, and proofreading as work requires continual attention to detail, establishing priorities and meeting deadlines.
- Good computer and software application skills including work processing, spreadsheets, email, and presentation software (MSWord, Excel, Outlook, and PowerPoint).
- Must have strong interpersonal skills, demonstrated poise, tact, and diplomacy.
- Must be able to handle sensitive and confidential information.
- Must have good organizational skills as well as analytical and interpretive skills.
- Good data entry skills (heavy data entry).
- Should have the ability to manage multiple projects and set priorities.
- Possess ability to understand departmental operations and procedures.
- Must have the ability to work independently or in a team environment.
- Able to interact and communicate with individuals at all levels of the organization.
- Must be able to multi-task.
- Must have dependable transportation and have a valid Florida Driver’s license.
Language and Writing skills
Must have ability to read, analyze, and understand information and ideas presented in writing. Able to respond written or verbally to job-specific and general inquiries from management, peers, subordinates, clients, and external vendors. Must be able to produce and disseminate correspondence (i.e., emails, letters, etc.) as requested.
Work hours and overtime
This position is salaried with a non-exempt FLSA status. Regular working hours are 8:00 a.m. to 5:00 p.m., Monday through Friday, with one hour for lunch. There will be periods where overtime will be required, which the employee will need to comply with to meet the demands of the position.
