Your Role
Under the direction of the Director of Operations, this role will manage client schedules, clinic resources, and support the administrative functions of the office so that they align with the clinic's goals of providing high-quality ABA services. The Administrative Assistant will work closely with leadership team, clinical staff, families, vendors, and external community to ensure that the clinic’s operations are optimized for client care and service delivery.
?? Manage weekly client and staff schedule, including finding and communicating coverage, as needed
?? Meeting with leadership team to review schedules, therapist availability, and administrative issues.
?? Support the development and implementation of a variety of forms and tools for staff and clients
?? Support the leadership team in responding to client/family emails and client communications in the portal, and communicate pertinent information to leadership or treating clinicians, as needed.
?? Address and resolve general scheduling issues in a timely and effective manner, including scheduling conflicts or staffing shortages with support from clinical leadership, as needed.
?? Serve as the primary point of contact for clients, families, and external vendors. Foster clear and open communication between the clinical team, administrative staff, and clients’ families.
?? Support clinicians by helping to prepare for treatment sessions.
?? Track and manage supplies needed for therapy sessions (e.g., materials, therapy tools), ensuring that inventory is stocked and maintained.
?? Ensure that all clinic documentation is up-to-date and compliant with relevant regulations, including client records, therapy progress notes, and billing information. Support staff in maintaining accurate and timely documentation.
?? Support leadership team in coordinating onboarding and training new staff members to ensure they are familiar with clinic procedures, protocols, and systems.
?? Assist in preparing reports for clinic leadership team, such as finance, client retention, appointment attendance, and billing status.
?? Support the management of special projects, such as organizing clinic events, staff in-services, improving operational processes, or implementing new software systems.
?? Manage the clinic’s social media, including creating posts across different platforms, monitoring and responding to comments and messages, analyzing data to track performance, and supporting overall online reputation to maintain a positive community engagement on social media.
Skills and Qualifications
Education
?? Bachelor’s degree in healthcare administration, business administration, or related field (preferred)
Experience
?? At least two (2) years of experience in healthcare scheduling, clinic operations, or healthcare administration, preferably in an ABA or pediatric healthcare setting
?? Experience with QuickBooks preferred

?? Proficient in Microsoft Office 365
