Sweet Sparkman Architecture & Interiors is a successful and growing architecture firm with offices in Sarasota and St. Petersburg, Florida. We are seeking an Administrative Assistant to join our seasoned team in the Sarasota office.
Classification: Full-time salaried. Reports to Firm Principals and Office Manager.
Summary: The Administrative Assistant provides administrative office and light computer/technology support.
Job Duties:
- Administrative Assistant Duties:
- Front office duties include answering phones and directing calls, greeting clients and consultants to the office with hospitality; accepting deliveries, maintaining the kitchen area including restocking snacks, keeping appliances in good working condition, and keeping the area clean and organized.
- Maintain office appearance – assist residential and commercial interiors departments with keeping libraries/sample spaces neat and organized; keep copy room, model-making station, conference rooms, Zoom rooms, and storage room neat and organized.
- Assist with delivery and return of sample materials. Run errands. Help staff with miscellaneous tasks, as needed.
- Manage and/or assist with office events. Schedule and order food for CEU Lunch & Learns, staff training sessions, monthly birthday celebrations, holiday party, and holiday client gift-giving.
- General office duties include organizing and filing invoices; copying, and scanning. Assist with other administrative duties as needed.
- Light Technology Assistant Duties:
- Open office each day / turn on computers in conference rooms, Zoom rooms, and library area.
- Help visitors when needed with equipment set up in conference rooms.
- Set up IT for staff training sessions.
- Organize and maintain IT supplies and equipment in storage areas.
- Communicate computer questions/problems to IT consultant.
- Manage software licenses and renewals (Bluebeam, Revit, Lumion, Rhino, Sketchup)
- Assist with IT/technology purchases and maintaining technology equipment inventory.
Minimum Qualifications:
The ideal candidate is:
Professional and responsible; detail-oriented; able to multi-task in a busy, fast-paced environment.
Proficient in Office 365, Microsoft Word; knowledge of Adobe Suite a plus.
Excellent written and verbal communication skills and time management.
Able to lift up to 25 pounds.
Minimum high school diploma. Associate’s or bachelor’s degree preferred.
