POSITION SUMMARY:
This position is key to keeping the Lakewood Ranch Stewardship District (LWRSD) team operating smoothly and efficiently. The primary role is to assist general public, residents, vendors and District staff as needed. Organization skills and attention to detail are paramount. Administrative duties include Excel spreadsheets, word processing, organizing, scanning, archiving and filing. Purchasing duties include procurement of a wide variety of materials, supplies, equipment, and services. Individual must enjoy working in a team atmosphere and be proficient with computer programs.
SCHEDULE: Monday thru Friday. On days at the main offices schedule is Wednesday, Thursday and Friday 7 AM to 3:30 PM, w/ 30 min for lunch and on days assigned to work at Town Hall Monday and Tuesday 8:30 AM to 5:00 PM w/ 30 min for lunch.
ESSENTIAL FUNCTIONS:
- Perform general administrative tasks in support of the office, its directors, and managers
- Process all incoming mail and order office supplies
- Responsible for prompt, accurate, and courteous service to all customers and other outside agencies or vendors
- Provide customer service coordination and issue resolution related to park programing software
- Solicit competitive quotes for goods and services to be purchased and manages formal and information solicitation process
- Analyze sole source, single source or limited competition requests to ensure appropriateness of transaction
- Assist with insurance requirements of the District, Vendors, and Residents
- Assist with purchasing policies and procedures
- Utilizes Excel spreadsheets for tracking many aspects of the District business
- Processing accounts payable requests for submittal to the District's accounting firm
- Organizing staff credit card receipts for submittal to the District's accounting firm
- Performs special projects for the Executive Director and District staff
- Assist with records management
- Notary duties as required
- Additional Administrative duties as needed
SKILLS & ABILITIES:
- Knowledge of general customer service and administrative practices and procedures.
- Knowledge of modern office equipment, practices and procedures.
- Highly organized and adept at paying attention to details.
- Ability to multi-task.
- Ability to handle sensitive situations with poise, tact and diplomacy.
- Notary experience a plus.
- Valid driver's license with good driving record.
