The Administrative Assistant position supporting Military Sealift Command (MSC) in San Diego is responsible for performing a variety of administrative and clerical tasks to provide excellent support to the Government customer. This position requires a high level of attention to detail, exceptional organizational skills, and the ability to work in a fast-paced environment.

The Administrative Assistant position participates in the Ability One program; allowing individuals with significant disabilities to work in various positions within our Government Contracted positions.

Pay Rate: The pay rate is $37.50/hr plus an additional $4.57/hr in Health & Welfare pay

Responsibilities:

• Provide general administrative support by processing correspondence, performing data entry, and record management
• Serve as the primary point of contact for the department
• Provide excellent customer service by addressing inquiries and requests promptly and professionally
• Responsible for managing the department’s workload, delegating assignments to junior level team members, and performing routine Quality Assurance reviews to ensure all tasks are being completed accurately
• Conduct research required to complete special projects as assigned
• Maintain and accurately update; internal databases, spreadsheets, reports, records, and filing systems.
• Prepare and distribute internal communications, reports, and presentations as requested.
• Collaborate with other departments to ensure efficient office operations and workflow.

• Procure and maintain office supplies and equipment by submitting Order Requests on behalf of the Government department to ensure inventory levels are sufficient

• Adhere to established procedures, policies, and guidelines to maintain confidentiality and data security.
• Perform other administrative duties as assigned.

Requirements:

1. High school diploma or GED equivalent required.
2. Advanced degree in Business or related field preferred.
3. Minimum of three years’ experience in administrative/office setting required
4. Leadership experience preferred
5. Proven experience as an Administrative Assistant or in equivalent role.
6. Proficient in MS Office Suite with an emphasis on Word, Excel, and Outlook
7. Experience with utilizing internal databases and running data reports preferred
8. Strong organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.
9. Excellent communication and interpersonal skills, with a professional and friendly demeanor.
10. High level of attention to detail and problem-solving abilities.
11. Familiarity with military or government administrative processes and systems is preferred.
12. This position requires an Active Secret security clearance or the ability to pass a Government investigation to obtain a Secret clearance. Please note obtaining at minimum an Interim Secret Clearance is required before receiving a start date for this position.
