Work Description:
The Administrative Assistant manages our front desk on a daily basis and performs a variety of administrative and clerical tasks. This position reports directly to the Office Manager.
Duties:
- Provide excellent customer service experience and front desk coverage. Must be able to answer phones and handle all calls in a professional manner. Maintains security by following procedures; monitoring logbook; issuing visitor badges.
- Processing new orders for production floor and invoicing as orders are shipped out.
- General filing, setting up weekly paperwork; keeping paperwork for various departments stocked
- Scheduling and confirming pickup appointments for orders; including but not limited to freight pickups; keep accurate, up-to-date daily shipping log to provide the Shipper each day. Also coordinating with Shipping each week to confirm pickups for the following week.
- Ordering and maintaining office supplies; keeping office area, conference room, and office kitchen organized, stocked, and tidy
- Collect information from new customers and setting them up in the system
- Assist with HR by collecting new hire paperwork, setting up interview appointments for hiring managers
- Perform other general office duties and additional tasks as deemed necessary by Management.
- Basic data entry into Food Safety portal; tracking document expiration dates and requesting documents from vendors as needed
- Take accurate minutes of meetings
- Book travel arrangements and shows
- Provide general support to visitors
Knowledge, Skills and Abilities Required as Essential
- Previous work in a food manufacturing setting is preferred but not required
- Must be knowledgeable with Word, Excel, and Outlook
- The ability to read, write, and comprehend information provided to them.
- Able to lift 25 lbs.
- Ability to speak Spanish is a major bonus.
- Experience with Quickbooks
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
Salary
20 - 26 /hour
