About the Job
Los Angeles County Public Works, Business Relations and Contracts Division is seeking Administrative Assistants. The candidates are to have a bachelor’s degree from an accredited college and some recent experience performing administrative and office support activities.
Responsibilities:
- Assist with the daily operations of LA County’s Local and Targeted Worker Hiring Program (LTWHP) and Community Workforce Agreement (CWA) Program implementation and compliance which include but no limited to:
- Populate Summary Sheets of Projects (PMD I-PMD III) - documenting all contractors/subcontractors, CPR dates, and eDocuments.
- Prepare and revise Notices to Proceed (NTP’s) for new CWA or LTWHP projects.
- Upload staff projects and progress information into SharePoint
- Compose cost proposal emails for upper management.
- File and organize multiple boxes and storage drawers containing important documents for management and staff.
- Input and remove email subscriptions into Gov Delivery
- Schedule meetings for staff/management and take notes when requested.
- Run reports to track project expenditures (RINV reports) for LTWHP and CWA program management.
- Contract Administration supports which may include:
- Entering contracts and amendments into the Contract Database
- Assisting with emails/notifications supporting the Contract lifecycle and maintenance activities and reports, including but not limited to: risk assessments, amendments, change orders, Notices to Proceed, and various reports.
- Assist with the daily operations of LA County’s Job Order Contract (JOC) Program which include but not limited to:
- Using multiple JOC Consultant’s software for data entry, creating work orders and reports
- Distributing JOC work orders
- Creating monthly JOC reports
- Preparing and filing Notice of Completion documents to close out projects

Required Experience:
Required Education and experience:
- Bachelor’s Degree in an accredited university
- Minimum 3 months of administrative work experience in the construction industry or for an awarding public agency.
