About the Job
GENERAL PURPOSE:
With minimum direction and considerable latitude for independent judgement, coordinates the compliance, recruitment, and education activities for the AEGD Residency Programs. Maintains solid working knowledge of agencies, regulations and training requirements related to dental residency training. Functions as a liaison between residents, faculty, administration, Office of Graduate Medical Education (GME), Registrar’s Office, external agencies and other institutions. Serves as the dual primary administrative support to the Chair and Program Director. Manages and coordinates all Continuing Education courses throughout the Eastman Institution for Oral Health.
**SPECIFIC RESPONSIBILITES:**
+ In collaboration with the Program Director, develops, coordinates and maintains educational curriculum, didactic schedule and seminars. Routinely reviews educational activities/rotations to ensure they meet program goals/objectives and Commission on Dental Accreditation (CODA) requirements.
+ Acts as liaison to the EIOH Registrar's Office and GME Office for MedHub and Postdoctoral Application Support System (PASS) reporting and troubleshooting. Responsible for data integrity. Develops, manages and delivers surveys for Program quality improvement.
+ Proactively and effectively manages the time and calendar of the General Dentistry Chair by choosing or recommending among competing demands on time, referring matters to be handled by other and controlling access to the Director.
+ In collaboration with the EIOH Continuing Education Director, coordinates and manages compliance to ensure adherence to ADA CERP requirements. Maintains CE course compliance materials, including maintenance of course attendee records; provides course certificates to all attendees.Completes and submits EIOH CERP provider annual report to American Dental Association.
+ Provides ongoing education for all EIOH CERP coordinators. Responsible for maintaining and updating EIOH CERP policies. Ensures all EIOH coordinators are up to date on their CE activities.
+ Coordinates and implements marketing initiatives for all CE activities: Coordinating the brochure design, printing, distribution and meeting all CERP marketing requirements.
**Annual Conference**
Planning and coordinating annual Handelman Conference including:
+ Timeline
+ Scheduling the conference site including meeting and hotel rooms, A.V., and menus
+ Contacting the speaker(s) for biography, photo, and presentation outline
+ Scheduling the speaker(s) travel arrangements and fees
+ Developing conference materials, including the program, name tags, and certificates
+ Arranging the site logistics for speakers and vendors
+ Coordinating conference events, including the registration and vendor arrangements and alumni dinner.
**Requirements:**
+ College degree in related field. Requires demonstrated ability to work with minimum supervision, using independent judgment. Ability to listen, convey, or exchange information with other personnel required.
+ Prior experience in an academic or health care institution. Strong interpersonal, communication and writing skills. Experience in MedHub and Microsoft Office products (Word, Excel, PowerPoint, Access).
+ 3-5 years of administrative experience, or a combination of education and experience preferred.
+ Experience with axiUm and dental terminology preferred.
