About the Job
Key Responsibilities:
1. Attendance Management:
Monitor tardy students and update attendance records daily.
Follow up on Independent Study (IS) requests and contracts, processing them promptly as they are received (IS packets approved for 5–14 days only).
? Submit attendance reports for specific staff members and send reminders to teachers who have not submitted their attendance by 10:00 AM.
Send out daily attendance summary emails to administrators and staff by 10:30 AM.
2. Truancy Tracking and Outreach:
Maintain and update the Truant Student Tracker daily.
Reach out to 3–4 families each day to discuss attendance concerns and document the outcomes of those conversations.
Prepare and mail weekly truancy letters via certified mail, ensuring accurate updates to the tracker for each case.
3. Office Administration:
Open gates, answer phone calls, and handle general charter office duties throughout the day.
Provide timely responses to inquiries from parents, staff, and students.
Support various office tasks such as filing, data entry, and maintaining records.
4. Collaboration and Communication:
Work closely with instructional staff to ensure attendance and truancy processes are followed.
Communicate effectively with school leadership and staff, providing regular updates on attendance and truancy issues.
5. Additional Duties:
Complete any pending work related to attendance, independent study, and phone inquiries.
Assist in other administrative tasks as needed to support the smooth functioning of the charter office.
Schedule:
8:00 AM–9:00 AM: Charter office duties (monitoring tardies, updating attendance, opening gates, and phone calls).
9:00 AM–10:30 AM: Independent Study and daily attendance management, including reminders and reporting.
10:00 AM–10:30 AM: Send daily attendance emails to staff.
11:00 AM–12:30 PM: Update the Truant Student Tracker and conduct family outreach.
12:30 PM–1:00 PM: Lunch break.
1:00 PM–3:00 PM: Complete pending work and provide ongoing support for office duties.
Qualifications:
Proven experience in administrative roles, preferably in a school setting.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Proficiency in using email, spreadsheets, and office management systems.
Ability to handle sensitive information with confidentiality and professionalism.
Knowledge of certified mail processes is a plus.
Knowledge of PowerSchool attendance submission.
Pay Details: $20.00 to $30.00 per hour
