Administrative Assistant
Be the friendly face and organizational powerhouse at our cutting-edge facility! We're seeking an Administrative Assistant to ensure seamless operations and provide exceptional support to our senior management team.
Your Key Responsibilities:
Reception Extraordinaire:
- Warmly welcome guests, ensuring their comfort and providing visitor access
- Answer phone calls with a smile, directing inquiries to the right people
- Maintain a secure and welcoming front lobby area
Office Wizard:
- Manage the mailroom, receiving and routing packages with efficiency
- Prepare outbound shipments and coordinate pickups
- Order and stock office, kitchen, and pantry supplies, keeping everything tidy
- Coordinate meeting logistics, including room reservations and refreshments
- Assist with travel arrangements, expense reports, and various administrative tasks
- Serve as the on-site liaison for HR, supporting interviews, orientations, and initiatives
- Create purchase requisitions and assist with billing administration
- Maintain our fleet vehicles at the facility
Technology Troubleshooter:
- Assist with office equipment maintenance, including copiers and printers
- Collaborate with IT teams to set up meeting rooms and resolve technology issues
- Troubleshoot computers, phones, AV equipment, and other devices
Your Qualifications:
- High school diploma or equivalent
- Proficiency in Microsoft Office Suite, travel scheduling programs, and organizational skills
- Ability to multi-task, prioritize, and meet deadlines with a professional demeanor
- Excellent communication and customer service skills
- Reliable, trustworthy, and a team player committed to confidentiality
