SummaryDaMar Staffing Solutions of Indianapolis ("DaMar") is a premier boutique recruitment firm offering full-service contingency base solutions for administrative and professional level staffing for all industries. The Administrative Assistant is responsible for a variety of skilled administrative and clerical support work to support the office.
Responsibilities (other duties as assigned) 80%- Greet visitors, answering phones, returning calls, arranging appointments, preparing meeting minutes, copying, mail responsibilities, managing management schedules as needed
- Data entry responsibilities including inputting candidate and client information into the CRM system.
- Confirm candidate interviews daily and update internal tracking sheet of candidate status (i.e. interview, NCNS, reschedule)
- Code and file candidate files that are considered "dead files" ; record keeping
- Complete candidate references checks; set up candidate assessments and update in the system as needed
- Call and complete candidate, employee, client update calls to ensure we have the right contact information and to have up-to-date status information, problem solve as needed
- Help decorate the office for special events, assist with planning of employee appreciation events, hand write thank you notes to clients and candidates; assist with social media responsibilities
- Assist with scheduling quarterly or annual client reviews
- Actively participate in networking groups and other business and community programs to increase skill knowledge.

- Contacting and responding to candidates according to recruiter needs, asking questions necessary to pre-qualify candidates and schedule candidates for face2face interview in the office.
- As needed duties: reviewing resumes, completing various screening efforts and go over first day logistics with temporaries, etc.

- Bachelors Degree preferred but not required
- 1 to 3 years of experience in customer service
- Proficient with Microsoft Office Suite, Internet and Email.
- Must be energetic, detail-oriented, organized, highly motivated and self-directed individual with ability to prioritize and work efficiently in a dynamic, fast-paced environment.
- Excellent communication, troubleshooting and negotiating skills; including ability to cold call, make in-person sales calls and presentations.
- Starting salary up to $30k plus performance incentives; M-F 8:30 am to 5:30pm; additional hours may be required in order to successfully do job
