Job Title: Administrative Assistant / Raw Material Scheduler
Location: Hemlock
Compensation: $18-22 per hour
Hours: M-F 7a – 3:30p
Position Overview:
On-Board Companies is seeking a motivated and detail-oriented Administrative Assistant to support our Production Scheduling team. In this dual-role position, you will manage administrative tasks and assist with scheduling responsibilities to ensure smooth operations. You will be responsible for handling raw material purchase orders, coordinating deliveries, maintaining vendor relationships, and supporting production scheduling . This position offers the opportunity to work closely with management, vendors, and other departments to keep operations running efficiently and on time.
Key Responsibilities:
Administrative Support:
- Provide administrative support for the Production Scheduling team which includes daily production document preparation and processing urgent paperwork/label changes to keep production running.
- Review SAP production paperwork for errors and make corrections in SAP.
- Handle correspondence, maintain confidentiality, and assist with office paperwork organization.
- Resolve routine and non-routine inquiries, maintaining professionalism in all interactions.
- Provide other administrative support as needed, including calendaring, document preparation and management, travel arrangements, and meeting coordination.
- Assist Schedulers in managing site inventory including running reports and performing transactions in SAP
Raw Material Scheduling:
- Create and manage purchase orders for raw materials using SAP.
- Coordinate material deliveries and follow up on delays or changes, collaborating with Asset Schedulers and Client Vendors.
- Communicate order confirmations and material receiving dates with vendors.
- Address and resolve vendor complaints using the SCAR system.
- Submit orders for materials not tied to production BOMs and request purchase orders for non-GMID materials via the S2P system.
- Work closely with APLL to schedule and manage deliveries, escalating shipping issues when necessary.
- Request material transfers between Client warehouses as needed.
- Follow up on overdue purchase orders and assist in price updates and vendor agreements.
- Coordinate raw material deliveries and perform SAP transactions for Contract Manufacturing.
- Assist Asset Schedulers with production scheduling tasks and communications.
- 2+ years of experience in an office or administrative setting.
- Strong experience with Microsoft Office (especially Excel) is required.
- 1 year of SAP experience is a plus, but on-the-job training will be provided.
- Attention to detail and the ability to work accurately and efficiently in a fast-paced environment.
- Ability to multitask and manage a variety of responsibilities simultaneously.
- Strong communication skills and customer service orientation when dealing with both internal and external stakeholders.
- Demonstrated reliability and punctuality, with a strong work ethic and commitment to excellence.
- Must be able to work well both independently and as part of a team.
- High school diploma or GED required.
- Successful completion of background check and drug screening required prior to employment.
