Administrative Assistant - Weston & Sampson

Weston & Sampson is currently seeking an Administrative Assistant to support our Information Technology (IT) department in our Portsmouth, NH office. As the IT Administrative Assistant, you will play a crucial role in ensuring smooth operations by handling administrative tasks, coordinating schedules, and assisting IT leaders. What you’ll do:

• Provide comprehensive administrative assistance to the IT team, including managing calendars, scheduling meetings, and handling correspondence.
• Maintain and organize IT-related documents, records, and files.
• Assist in coordinating travel arrangements for IT staff, including booking flights, accommodations, and transportation.
• Monitor and track IT department expenses, prepare expense reports, and assist with budget management.
• Liaise with IT vendors, track orders, and manage vendor contracts.
• Assist in planning and organizing IT-related events, workshops, and training sessions.
• Maintain an inventory of IT equipment, software, supplies, and assets.
• Facilitate communication within the IT department and across other teams.
• Support IT projects by coordinating tasks, tracking progress, and ensuring deadlines are met.
• Provide basic technical support to staff, such as troubleshooting software issues or setting up equipment.
• Handle sensitive information with discretion and maintain confidentiality.

What you will bring:

• High school diploma or equivalent; additional certifications or coursework in office administration or IT-related fields are a plus.
• Proven experience as an administrative assistant, preferably in an IT environment.
• Excellent organizational and time management skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong communication skills, both written and verbal.
• Attention to detail and accuracy.
• Ability to multitask and prioritize effectively.
• Familiarity with IT terminology and concepts.
• Collaborative attitude and willingness to work closely with IT professionals.
• Ability to adapt to changing priorities and handle multiple tasks efficiently.
• Resourceful and proactive in resolving challenges.
• Maintain a professional demeanor and positive attitude.
• Valid driver’s license required.
