BerryDunn is seeking an Administrative Assistant who will provide support to Practice Group Leaders (PGLs) and Principals for two busy practice groups within BerryDunn’s Consulting Team (CT). The qualified individual will play a crucial role in helping to ensure the smooth operation of daily activities. Responsibilities included in this role include tracking deadlines, coordinating meetings, preparing documents, liaising with other departments, and handling communications. This role will be the go-to for administrative tasks, providing essential support to consulting principals and helping to maintain an organized and efficient work environment. The responsibilities listed here are not all-inclusive. As the selected candidate grows within the role and gains a solid knowledge base, additional responsibilities will be added. The key to be successful in this dynamic role requires a strong ability to multitask, attention to detail, and excellent communication skills. To begin this role, the selected candidate will report to the Director of Consulting Services Support (CSS) and will work in the Portland office Monday through Friday each week.
You Will:- Provide administrative support to assigned CT PGLs and Principals
- Maintain and update Practice Group (PG) organization charts
- Liaise with CSS onboarding and assigned PGs’ onboarding partners and supervisors
- Support internal Meetings
- Scheduling
- Note-taking
- Creating agendas
- Documenting and distributing meeting outcomes
- Maintain PG InfoLink (Intranet)
- Maintain document and file storage
- Maintain PG Teams SharePoint files
- Organize and keep documents filed and updated as needed
- Support communications for team members time entry
- Track onboarding partners and supervisors
- Track and schedule Performance & Development Assessment (P&DA) process and 2+2 meetings
- Track PG team members’ specific skill sets and subject matter expertise (update on an annual basis) (in lieu of an actual system that can track)
- Liaise with CSS for tracking employee time budget submissions
- Book travel and accommodations
- Production, logistics, and planning for PG events, such as: team lunches, PG training days, virtual meetings. Including, but not limited to:
- Catering (or liaise with office admin to do this)
- Reserving conference rooms, booking blocks of hotel rooms, setting up Teams/Zoom, preparing PPT slide decks, printing materials, etc.
- Virtual meeting production: scheduling Teams/Zoom, breakout rooms, monitoring chat rooms
- Be the invoicing or invoice liaison
- Be the communication bridge between CSS, PGL’s, and Principals
- Attend business planning meetings and keep PGs on track while planning for business plans
- Liaise with CSS, Marketing, and PGs for business plan presentations
- Develop internal group surveys (non-client)
- Produce internal Microsoft PowerPoint presentations
- Format/Proof internal (non-client) documents
- Other administrative requests, on an as-needed basis
- Adaptability to adjust to new situations and unexpected challenges
- Ability to address issues independently and find solutions without always needing to escalate.
- Ability to build good relationships with colleagues, being approachable and helpful
- Excellent proficiency in MS Office (MS Word, MS Excel, and MS PowerPoint)
- Excellent time management skills and the ability to prioritize work
- Attention to detail
- Ability to work independently and in a team
- Excellent written and verbal communication skills
- Working knowledge of office equipment, like printers and fax machines
The base salary range targeted for this role is $25.00/hr - $29.00/hr. This salary range represents BerryDunn’s good faith and reasonable estimate of the range of possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications in excess of the minimum requirements for this posting, that applicant is encouraged to apply and a final salary range may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The salary of the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
