JOB DEFINITION:
An integral part of the administrative support staff providing strong secretarial services and administrative support to management of agency Programs and performing assignments of an administrative nature.
EDUCATIONAL REQUIREMENTS:
High school diploma or equivalent. College, business or secretarial school training preferred.
EXPERIENCE REQUIRED:
Strong administrative assistant experience. Computer skills including all Microsoft programs. Proven ability to navigate the Internet. Excellent oral and written communication skills. Working knowledge of Electronic Health Records and centralized scheduling technology preferred. Must have excellent verbal and written communication, along with superior organizational skills, ability to multi task and remain focused despite frequent interruption.
DUTIES AND RESPONSIBILITIES:
- Provides secretarial services and expedites administrative functions of the program by assisting with projects as assigned and as program needs or requires. This includes:
- Responsible for maintaining the clients' daily attendance
- Alerting appropriate personnel about the arrival of clients and visitors
- Answering and routing calls
- Accepting and routing mail and deliveries
- Faxing, and accepting and routing faxes
- Data entry into the EHR and other programs as requested and as it relates to program needs.
- Tracks and schedules client clinical appointments.
- Reviews clinical notes and billing to ensure accuracy with times, codes, and proper follow-up.
- Communicates with outside entities (i.e.: pharmacies, residential programs, hospitals) to coordinate clinical care for clients.
- Tracks and schedules client transportation to/from program.
- Maintains inventory of supplies and food items, and making purchases as needed; inputs invoices into Microix system as needed.
- Maintains CACFP records and distributes snacks to clients in accordance with CACFP and program guidelines.
- Opens and/or closes the facility as assigned.
- Assists with outreach and follow-up through phone calls and written correspondence.
- Facilitates administrative correspondence for the Directors of agency Programs, which includes drafting and typing correspondence, gathering and disseminating information for reporting purposes, and maintaining confidentiality requirements.
- Assists with managing the schedules of Program Directors.
- Assists with the distribution, completion, and inputting of Perception of Care Surveys and more.
- Assists with coordinating client and staff events.
- Identify and implement quality improvement trainings and activities as part of professional development goals
- Complete QI Training during onboarding and participate in QI refresher training as needed.
