Summary:

The incumbent will thrive in this role as they perform essential functions of this job: administrative support, board and committee administration, and project administration. The successful candidate must be a team player, have a professional demeanor, demonstrate an ability to set and change priorities and interact effectively with boards, committees, community groups, and outside vendors.
Responsibilities:
The administrative assistant will prepare , organize, manage, and implement all details related to meetings, conferences, exhibits, board meetings, training seminars, and local and off-site retreats. These may include but are not limited to the following duties:
Manage all office-related activities, including client reception, answering phones, receiving and distributing mail-related deliveries, and maintaining and ordering office supplies.
Ensure administrative support to the Executive team and calendar management for the Foundation and the Executive team (e.g., ensuring meetings do not overlap, etc.).
Provide clerical support for large groups, volunteers, and staff (e.g., conference room management, meeting/conference preparation, preparing/maintaining spreadsheets, updating contacts in the Foundation Community Suite web-based system, and organizing files in Google Drive).
The administrative assistant will also:
Assist the team in developing and maintaining accurate document procedures and standard operating procedures (SOPs) for departments and the Foundation. This includes ensuring meetings (e.g., board committee(s), community neighborhoods, staff meetings, etc.) are recorded and transcribed.
Digitizing documents and contact database management in the Community Suite Documentation management system.
Establish, maintain, and update complex contact files, rosters, and email lists.
Positively contribute to the team, learning and bringing a collaborative spirit to a small office environment.
Perform other duties and projects as assigned.
Essential Knowledge, Skills, & Abilities:
Associate degree preferred or three to five years of administrative and receptionist experience.
Candidate must be willing to work on-site.
Ability to consistently perform repetitive tasks, routine functions, and detail-oriented work.
Prior experience in a non-profit or philanthropic office environment, either as a volunteer or staff member, is preferred.
Ability to work in a team-oriented environment and experience with collaborative efforts
Excellent customer service, problem-solving, planning, organizational, and administrative skills.
Ability to take the initiative, manage time efficiently, meet deadlines, and work independently.
Demonstrate excellent communication skills (verbal and written) and strong organizational skills.
Quick learner, self-driven, and able to work independently quickly.
Excellent computer skills, including proficiency in MS Office, internet research, and software and database development.
Proven ability to work with diverse audiences as well as working knowledge of community needs and initiatives as it relates to the African American community in Allegheny County.
Familiarity with 501(c)(3) IRS related regulations is preferred.
Salary is $23 per hour
Monday through Friday working in the office in Downtown Pittsburgh, PA
30 to 40 hours per week
