The administrative assistant will provide a central resource for region support, data collection, tracking, and general support.

Essential Functions, Duties, and Responsibilities

• Assist in the review and collection of receivables and payables
• Assist in preparation of spreadsheets for weekly/monthly reports
• Regular activity reporting to manager
• Book travel arrangements for staff
• Assist in documenting procedures for regional staff
• Maintain office supply inventory
• Back up Regional Coordinator and staff as needed
• Complete miscellaneous duties and assignments as assigned by Manager
• Prepare updates to Client list
• Weekly email reminders to region (rewards & recognitions)
• CPI tracking
• Contract organizing and management such as collecting, sending reminders, tracking RFP documents.
• OPA tracking
• Weekly financial flash rollup
• Birthday & Anniversary cards sent for all region employees
• Client Holiday cards
• ServSafe master list tracking region proctors and all salaried employees expirations
• TTO statistics and tracking
• Maintain region Organization chart
• Other duties as determined by the needs of the business

Associated Knowledge, Skills and Abilities:

• Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
• Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
• Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
• Must be a self-starter who can work well with people at all levels both in and out of KCN Organization and correctional facilities in a professional manner.
• Ability to prioritize projects from several sources and departments.
• Ability to work well with ever changing priorities and or situations.
• Strong organizational skills.
• Ability to work independently or within a team.
• Customer service oriented.
• Familiarity with computers (including Microsoft Office programs) preferred

Required:

• Valid Photo ID
• Excellent telephone and communication skills.
• 10-key calculator experience.
• General office machine experience.
• PC experience required – word processing and spreadsheet generation (including Microsoft Office programs).
