Hours are Monday-Friday 9am-5pm
Provides skilled administrative support of a confidential nature for Clin-Path Associates and Pathology Specialists of Arizona (COO, Exec Committee, Pathologists, and administrative staff). All employees are responsible for supporting the Company’s goals and mission, and for following all Company policies and procedures. This position maintains a variety of confidential records. Quality customer service is an essential part of every position.
ESSENTIAL FUNCTIONS:
- Supports CPA and PSA Chief Operating Officer and the Executive Committee (s) with day to day administrative and organizational duties to ensure the company runs efficiently.
- Assists with meeting planning, to include the development of agendas, meeting minutes, catering needs and meeting handouts when needed.
- Acts as the coordinator for information needed by laboratory staff and department operations by setting up and maintaining systems for files and supplies.
- Screens calls and visitors, providing information and referral as appropriate.
- Inventories the Administrative area and kitchen for supplies. Order supplies to restock the Kitchen and supply area.
- Sorts and screens mail for Pathologists and administrative Staff. Uses judgment in identifying required actions on incoming mail and manages the follow up when appropriate.
- Assist with the distribution of pathologist consults and studies, ensuring the consults get to the correct pathologist.
- Distributes daily/monthly schedules for pathologists and P.A.’s.
- Updating and distributing the group contact list across the organization.
- Coordinates with Human Resources, Security and IT for new hire setup.
- Send Quarterly Reports for QA for body site, or other possible non-pathologist related changes.
- Writes Policies and Procedure, formatting into standard organization templates and maintains a document control process for easy retrieval and future editing.
- Assists administrative staff with projects as assigned. This would require the use of MS office tools like Power Point, Excel and advanced work functions.
- May be asked to research best practices and implement efficient systems to improve the management of the office.
- Performs other related duties as required.
- Must have at least two years’ experience providing secretarial or administrative support in a multi-person office.
- Must have Associates Degree, Preferred Bachelor’s Degree.
- Must be proficient in MS Office software and have strong aptitude to learn new technology.
- Must have highly developed interpersonal skills and demonstrate professional behavior.
- An aptitude for medical terminology or experience in a healthcare setting is desired.
