Job Title: ADMINISTRATIVE ASSISTANT
Position Summary:
Performs a wide range of administrative and office support activities supporting the Chief Operating Officer and/or delegates to facilitate the efficient operation of the organization. Interacts with administrative personnel, physicians, co-workers and visitors to handle administrative responsibilities in the most professional manner possible.
JOB DUTIES & RESPONSIBILITIES:
- Reviewing, prioritizing, and responding to emails
- Answering and returning phone calls
- Manages executive calendar
- Organizing documents
- Maintaining records
- Maintains meeting minutes
- Compiling data to prepare papers or presentations
- Maintains office supply inventory
- Ensures appropriate deliveries are initiated and sent, via courier, to offsite offices
- Order/Design all special printed items such as business cards, prescription pads, promotional and announcements, etc.
- Help with the production of marketing material for all offices.
- Facility Coordinator – assists with office space coordination and facilities repair organization working with the hospital maintenance department.
- Catering assistance by order food for events and meetings.
- Special Projects as assigned
PERFORMANCE REQUIREMENTS
- Must be detail oriented and excellent with numbers.
- Outstanding organizational and time management skills
- Excellent MS Office knowledge
- Familiarity with office gadgets and applications
- Maintains cheerful outlook and always demonstrates the utmost in professionalism.
- Dresses appropriately and professionally.
- Demonstrates willing attitude to accept guidance.
- Able to follow through on tasks without direct supervision.
- Completes work accurately and in a timely manner.
- Excellent oral, written & telephone communication, along with tact, diplomacy, and a strong customer service orientation.
- Must be able to maintain confidentiality at all times
EDUCATION & EXPERIENCE
- High School or GED degree, Associates or Bachelor’s degree preferred.
- Minimum of 5 years’ experience in an Administrative Assistant position.
