Administrative Assistant at Apex Systems

Apex Systems is seeking a highly organized and proactive Administrative Assistant to support one of our government clients in the Greater Philadelphia area! The ideal candidate will be well-versed in Microsoft products, have experience with various reporting tools, and possess a background in IT administration. This role requires flexibility, assertiveness, and the ability to thrive in a dynamic, law enforcement environment.

Position: Administrative Assistant

Location: Philadelphia, PA (onsite)

Hours: 9-5 or 8-4 (flexible)

Employment Type: Contract to Hire

Hourly Rate

$25-$30/hr (Depending on experience)

Conversion Salary: $60-$65k/yr

Key Responsibilities:

• Administrative Support: Provide comprehensive administrative support, including managing schedules, coordinating meetings, and distributing tasks to team members.
• Reporting: Create and manage reports using Tableau, Crystal Reports, and other reporting tools. Pull data, run reports, and present findings to C-Suite Executives
• Team Management: Oversee team activities in the absence of key personnel, ensuring smooth day-to-day operations and effective communication.
• Equipment Management: Track and audit equipment, ensuring accurate records and efficient use of resources.
• Meeting Coordination: Organize and run meetings, ensuring agendas are followed, and action items are assigned and tracked.

Qualifications:

• Technical Skills: Proficiency in Microsoft Office Suite, and various reporting tools. Ability to understand and adapt to IT jargon and trends.
• Experience: Tech savvy, with the ability to manage reporting, auditing, and equipment tracking.
• Soft Skills: Strong organizational, communication, and interpersonal skills. Ability to blend in with a diverse team and adapt to a rapidly changing environment.
• Law Enforcement Environment: Comfortable working in a sensitive environment, with the ability to handle confidential information. Willingness to undergo fingerprinting and sign an NDA.
