We are looking for an experienced and self-motivated individual to fill the position of Administrative Assistant within our Chemical Manufacturing Plant located in Pedricktown, NJ.

Essential Duties

• This position is responsible for providing administrative support for the Pedricktown site.
• Supports the core values of the organization through establishing expectations and maintaining a focus on safety, environmental compliance, quality, cost consciousness, reliability, and operations.
• Supports and participates in programs, methods, systems, and practices for maintaining a safe and environmentally sound work environment.
• Provides administrative assistance to the Plant Manager, Plant Staff, Operations, Maintenance, and Technical departments.
• Distributes and processes incoming and outgoing plant mail.
• Primary contact for procurement and any issues related to ordering of office supplies, copy machines, uniforms, janitorial services, office equipment, sympathy and get-well flowers, safety shoes, coffee, water, lunches, and dinners.
• Process travel expense reports for plant employees as needed as well as assisting visitors with their travel arrangements.
• Assists in compiling reports, such as overtime reports, headcount reports, vacation reports, absence reports, etc.
• Assists with new employee orientation and onboarding.    
• Assists in planning, preparation, and execution of all plant functions and employee activities.
• Maintains plant Action Tracking system.
• Assists in processing and tracking Charitable & Community Relations contributions.
• Serve as Document Custodian.Coordinates record and file retention programs plant wide following OxyChem’s record retention schedules. Maintains all personnel and confidential files.
• Participates in and supports training activities and will demonstrate individual commitment to HESS and respond by demonstrating individual specific HESS responsibilities.
• Responsible for organizing and prioritizing heavy workloads with accuracy and minimal supervision, meeting critical deadlines.
• Supports and fulfills the requirements of the Plant’s and ISO Quality system, including updating operating manuals as required.
• Performs other duties as assigned.

Qualifications

Minimum Qualifications

• High School Diploma or G.E.D. required, Associates Degree in Business or related field preferred.
• Minimum 2 years administrative experience, experience in a manufacturing facility preferred.
• High proficiency in Microsoft applications (such as Word, Excel, PowerPoint, and Outlook) and good working knowledge of SAP.
• Excellent written and verbal communication skills.
• Ability to read, write and speak in English.
• Excellent interpersonal skills including the ability to work as part of a team.
• Must possess a valid driver’s license.
• Physical requirements – Must be able to lift 40 lbs., climb ladders and stairs.  Walking, bending, stooping is required.  Must be able to wear personal
• protective equipment including the use of a respirator.  Must be able to respond to visual and audible alarms.

Additional Desired Qualifications

•          Good working knowledge of SAP.
•          Working knowledge of Workday, concur and/or other similar time entry/accounting systems.
