Job Description Summary

The Administrative Assistant, Penn Cultural Heritage Center (CHC), reporting to the Penn CHC Research Associate, provides support to the CHC by assisting with reimbursements, day-to-day spending, purchasing, and tracking expenses on projects. Responsibilities include overseeing administrative operations and tasks for the CHC, developing and maintaining office-wide processes and procedures, responding to incoming calls and emails, planning and preparing materials for events, meetings, and lectures, helping prepare presentations, assisting with social media, and scheduling and meeting preparation.

+ Support administrative operations, including reimbursements, purchasing supplies, purchasing card expenses tracking, travel arrangements, and contracting services.


+ Respond to and coordinate communications internally and externally for the CHC; administrative duties related to documents, correspondence, timelines, public relations, and outreach; assist with the preparation of meetings and presentations.


+ Track key issues and metrics for the CHC and ensures office responses are consistent, professional, and timely.


+ Help coordinate the CHC’s social media, public email address, and e-newsletter.


+ Plan, schedule, and arrange materials and travel for CHC research associates and associated staff.



Qualifications



+ Minimum: High School Diploma/GED and 2 to 4 years of experience required, or equivalent combination of education and experience.


+ Bachelor’s is preferred.


+ Exceptional attention to detail is required as is the ability to balance multiple projects simultaneously.


+ The CHC Administrative Assistant must be able to work independently, exercise initiative, and be a team player; must have the ability to make decisions within the scope of responsibility, be highly reliable, dependable, and have an ability to work under pressure.


+ Outstanding oral and written communication skills and a demonstrated ability to handle sensitive, confidential, and difficult situations with tact and diplomacy are required.


+ Excellent customer service skills are required.


+ The CHC Administrative Assistant position requires a strong work ethic, professionalism, and a commitment to integrity.


+ Demonstrated experience in project planning, coordination, execution, follow-through, and project planning are required.



Skills



+ College degree and/or 3 years’ experience with national or international heritage projects, museum collections work, or object-based learning preferred


+ At least 1 year of administrative experience


+ Project management experience, ideally in research projects and grant coordination


+ Experience coordinating events from conception to post-program evaluation


+ Commitment to creating an inclusive, diverse, equitable, and accessible museum field


+ Familiarity with scheduling software (Blackbaud/Altru), Outlook, and Basecamp or similar


+ Graphic design or social media experience preferred.


+ Proficiency in Microsoft Excel required. Knowledge of Penn policies and systems such as Marketplace and Concur strongly preferred.


+ Excellent written and oral communication skills


+ Highly organized and detail-oriented
