Overview:
Purpose: Perform clerical and administrative functions to assist the Director of Operations and support the Operations team. Correspond with leasing staff, Regional positions, and Vice Presidents within the company via telephone and email. Communicate and follow up with vendors regarding their services. Collaborate with the Director of Operations on projects and maintain an organized workflow.

Responsibilities include (but are not limited to):
- Supports Director of Operations with implementation, correspondence follow up, and data collection
- Supports Operations team as needed with data entry, document preparation, and project support
- Works independently and within a team
- Handles special projects by planning and coordinating multiple presentations, disseminating information and coordinating direct mailings
- Assists in due diligence, acquisitions and dispositions tasks, as needed
- Schedules and organizes complex activities such as meetings, travel, conferences and regional activities
- Updates Operation forms as directed
- Supports the department by coordinating the completion of typing, editing, proofing and filing as requested
- Manages proposals and/or report productions (i.e. new business, due diligence, shop reports, accounting issues)
- Establishes, develops, maintains and updates filing system and report binders – individually and departmentally
- Performs clerical tasks such as copies, scanning, mail, etc.
- Handles expense reports and codes invoices
- Receives, responds to, and de-escalates resident calls and routes appropriately; tracks follow up
Qualifications:
- University degree preferred
- 2-3 years professional administrative experience
- Detail oriented with excellent organizational, multi-tasking and time management skills
- Technologically proficient with an advanced knowledge of MS Office – Outlook, Word, Excel, Power Point
- Experience in YARDI software a plus
- Excellent verbal and written skills
- Must have initiative, be a quick learner, and capable of handling dynamic situations
- Ability to work occasional overtime
- Bilingual (Spanish) required
