The Office of Network Support (ONS) manages and supports Chicago's 18 school networks and the Independent Schools Principals network, ensuring principal quality and strong school performance across the district. ONS is integral in developing, implementing, and communicating district-wide policies. Job Summary:Reporting to the Senior Business Operations Specialist, the Administrative Assistant will support a variety of projects, as well as reporting, communications and general administrative work.
The Administrative Assistant, Office of Network Support will be held accountable for the following responsibilities:- Support management of ONS systems and processes.
- Provide administrative support including but not limited to updating and maintaining calendars for Chief and Deputy Chief time off, photocopying and printing, preparing meeting materials, and scheduling meeting locations.
- Create regular and ad hoc reports under the direction of the Director of Data Management.
- Create and coordinate a streamlined process for updating and managing critical documents used by staff district-wide.
- Coordinate circulation of external and internal communications (memos, newsletters, etc).
- Use various tools used to collect and maintain data, e.g., Google Suite, Power BI, etc.
- Develop and edit digital media presentations for advertisements and meetings.
- Performing routine administrative duties for assigned attorneys and leadership in the Law Department;
- Answering phones, directing calls to the appropriate parties, and taking messages as appropriate;
- Annual temporary deployment to support schools.
- Other duties as assigned.
Education Required:
- Bachelor's degree from an accredited college or university
- Minimum of two (2) years of administrative or clerical duties work experience, which can include previous internships
- Digital Media experience preferred
- Familiarity with Google Suite preferred
- Ability to use and quickly learn and apply a variety of data tools (e.g., Power BI)
- Strong interpersonal, presentation and communication skills (Verbal, Written, Listening)
- Ability to build collaborative relationships with a variety of constituent groups, including external partners, to ensure the entire system supports schools and principals effectively
- Ability to define problems, analyze data, and outline valid conclusions and action steps
- Ability to see projects through the full life cycle, monitor progress and make adjustments as needed
- Ability to thrive in a fast-paced environment; Ability to work independently or in a team environment
- Capable of handling sensitive information and maintaining high levels of confidentiality
- Proficiency with the Google Suite applications
- Strong attention to detail
As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
- Establish/Maintain Chicago Residency
- Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
- Be Fully Vaccinated Against COVID-19
- Unless approved for a medical or religious exemption, all employees are required to be up-to-date on COVID-19 vaccinations, including boosters, and to submit proof of vaccination to the district within 30 days of hire. "Up-to-date" on vaccination is defined as being at least two weeks past all primary vaccine doses and any applicable boosters. Unvaccinated staff with an approved exemption must submit to weekly testing.
