Martis manages four traditional private equity funds with interests in portfolio companies across the healthcare industry with approximately $2 billion in assets under management. The company currently employs 23 business professionals located between its San Francisco, Washington, DC, and Miami offices.
Position Description
Martis Capital is seeking an Administrative Assistant/Office Manager to support our growing team in a fast-paced corporate environment. This role will report to the Director of Administration and will be responsible for a blend of administrative and office management duties, including calendar and travel coordination, expense reporting, event planning, and special projects. Responsibilities
Administrative Support
· Provide comprehensive administrative support to the Investment Team and firm leadership, including partners and key operational teams (Finance, Business Development, IT).
· Manage complex domestic travel arrangements and monthly expense reconciliation for executives and key stakeholders.
· Oversee calendar management for senior leadership, scheduling internal and external meetings with efficiency.
· Handle meeting and event coordination, including logistics, catering, and on-site hosting for both internal and client-facing events.
· Assist with employee onboarding and offboarding, ensuring a seamless transition for new hires and departing team members.
Office & Facilities Management
· Serve as the primary liaison between onsite facilities management, building management, and vendors, ensuring the office remains operational and well-maintained.
· Oversee office supplies, kitchen inventory, and equipment, placing orders as necessary.
· Maintain a clean, organized, and welcoming office environment, ensuring a high standard of hospitality for executive visitors and team members.
· Coordinate mail, deliveries, security access, and space planning as needed.
· Execute errands and special projects to support office operations.
Cross-Functional Support & Special Projects
· Collaborate with internal teams, including Finance, Business Development, and IT, on firm-wide initiatives and operational improvements.
· Assist with event planning, annual meetings, firm-wide offsites, and monthly team-building initiatives, ensuring seamless execution.
· Proactively identify opportunities to streamline office processes and enhance team efficiency.
Qualifications
· 3+ years of relevant experience in an administrative/office management role required, preferably in professional services or financial services. Experience in private equity preferred but not required.
· Strong background in calendar and travel management, with experience handling complex scheduling. Strong proficiency in Microsoft Office Suite and SAP Concur or similar expense management software.
· Bachelor’s degree in business administration, communications or a related field (preferred, but not required).
· Highly organized and detail-oriented, with the ability to manage multiple priorities simultaneously.
· Strong problem-solving skills and the ability to anticipate needs and resolve issues proactively.
· Excellent communication and interpersonal skills, with a high degree of professionalism.
· Ability to lift up to 25 lbs as required for office management tasks.
