Inland Devon Self Storage Holdings LLC (Inland Devon) is seeking a detail-oriented and organized Finance Department Administrative Assistant to support the CFO and finance team with a variety of administrative and financial tasks. This 100% onsite role is based at our Oakbrook, IL office and offers an hourly pay range of $25.00/hr. - $31.25/hr. ($50,000 - $65,000 annually)
The responsibilities include managing expense reports, assisting with accounts payable (AP) coding, preparing Excel schedules, coordinating documentation for opening bank accounts, and creating presentations for internal and external stakeholders. The ideal candidate will have exceptional attention to detail, strong organizational skills, and proficiency in Excel and presentation software. This role is vital to supporting the CFO's initiatives and ensuring the efficiency of financial operations and clear communication of financial information.
Key Responsibilities:- Expense Report Management:
- Prepare, review, and verify expense reports for compliance with Inland Devon's Travel and Expense (T&E) policy.
- Collaborate with team members and departments to ensure timely and accurate submission of expenses.
- Track and follow up on outstanding expense submissions or corrections as needed.
- Accounts Payable (AP) Coding Assistance:
- Support AP processing by accurately coding invoices and expenses for proper departmental and project allocation.
- Assist in reviewing and validating AP entries to ensure adherence to Inland Devon's accounting policies and procedures.
- Coordinate with finance team members to resolve coding discrepancies or issues.
- Excel Schedule Preparation:
- Prepare and maintain various Excel schedules and reports, ensuring data accuracy and timely updates.
- Assist with compiling data for budget tracking, forecasting, and departmental reporting.
- Identify and implement enhancements to streamline Excel-based reporting processes.
- Bank Account Coordination:
- Assist with the setup and opening of new bank accounts for properties or projects as needed.
- Gather, prepare, and provide necessary documentation for account applications, ensuring compliance with bank requirements.
- Communicate with banking representatives and follow up on account setup progress to ensure timely completion.
- Presentation Support:
- Assist in preparing and designing presentations for departmental meetings, internal reports, and board presentations.
- Gather, organize, and visually present financial data and metrics to communicate key insights effectively.
- Ensure presentations are clear, professional, and aligned with Inland Devon's branding and style guidelines.
- Coordinate with team members to refine presentation content, structure, and flow.
- Departmental Support:
- Provide general administrative support for the finance department, including scheduling meetings, organizing documentation, and coordinating inter-departmental communication.
- Assist with ad-hoc departmental projects, research, and reporting requests as assigned.
- Maintain organized records and files for easy reference and audit compliance.
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field preferred; relevant experience may be considered in lieu of formal education.
- 1-3 years of experience in finance, accounting, or administrative roles, preferably in a corporate setting.
- Strong proficiency in Microsoft Excel and PowerPoint, with the ability to create and modify spreadsheets, formulas, schedules, and presentations.
- Experience with AP coding, expense report preparation, presentation design, and bank account documentation preferred.
- Excellent attention to detail, organizational, and communication skills.
- Ability to work independently as well as collaboratively in a fast-paced environment.
- Demonstrated ability to handle confidential information with discretion.
