SCOPE OF SERVICES:
Under the joint supervision of the Director of Nursing and the ADON, the Administrative Assistant/Nursing Coordinating will manage the day-to-day administrative operations of the office of the Director of Nursing and the ADON, providing administrative support to units, services and programs for which the Director of Nursing and the ADON are responsible. This position serves as a problem solver for the Directors by becoming highly versed in the details of each department and taking the initiative to identify and raise solutions to improve efficiency.
RESPONSIBILITIES AND DUTIES:
Assists the Director of Nursing in producing, formatting, and distributing regular reports, in collaboration with other departments as needed.
Responsible for submitting and tracking vendor payments and other check requests, including maintaining an electronic filing system.
In collaboration with the Director of Nursing and the ADON, the Administrative Assistant/Nursing coordinator will provide administrative support to the relevant quality standard teams Joint Commission team for all maintenance and survey activities, including assisting in the preparation of responses to the Joint Commission, scheduling of Joint Commission Committee Meetings, and other documents as needed for the Joint Commission surveys.
Payroll: Monitors, edits, and submits bi-weekly nursing staff timesheets in E-Supervisor to the Payroll Coordinator.
Maintains files and filing system, evaluates current filing system, and plans/executes revisions to the current system if and/or when necessary to create a better-functioning filing system.
Answers the telephone and participates in the office Executive telephone call group. Take notes for the Director of Nursing and the ADON as appropriate.
Drafts administrative memos and letters and prepares forms as appropriate.
Responsible for preparing monthly minutes for the Joint Commission Committee and other meetings as necessary.
Assists in preparing and updating all policy and procedure manuals related to all clinical areas.
Coordinates planning, preparation, and execution of academic and administrative meetings within, as well as with outside individuals and agencies for the office of the Director of Nursing and the ADON, including making arrangements for meals and refreshments as appropriate.
Serves as liaison and administrative support for all Nursing and medical assistant students rotating through the facility.
Provides administrative support for the recruitment of new nursing staff.
Assists with the execution of special projects at the discretion of the Director of Nursing as the need arises.
Opens and reviews mail addressed to the Director of Nursing and the ADON, Monitors fax machine, and ensures that all lab results are distributed to the appropriate medical unit in a timely manner. Sorts and distributes mail for the medical units. Facilitate the ordering and delivery of office supplies for the Director of Nursing and the ADON.
Collaborating with the other administrative assistant and Clinical Coordinator.
REQUIREMENTS:
Associate degree or the equivalent in education and experience. Bachelor's Degree a plus.
Excellent organizational skills
Ability to effectively handle and prioritize multiple tasks concurrently.
Word processing capabilities including spreadsheet, graphics, Windows 2000.
Excellent interpersonal skills
Team player, highly motivated and a self-starter.
Salary: $60,000.00
