The Naval Undersea Warfare Center Division, Newport (NUWCDIVNPT) is a naval research activity operating under the direction of the Commander, Naval Sea Systems Command (NAVSEA). The Corporate Operations Department (Code 10), Code 00, TD and Naval Undersea Warfare Center (NUWC) Headquarters (HQ) are an integral part of NUWCDIVNPT, responsible for providing timely and cost efficient business and operational services to the overall Division. These services include Human Resources, Infrastructure, Corporate Communications, Activity Chief Information Officer (ACIO)/Information Technology, Security, and Corporate Business Office functions. The Corporate Operations Department provides these responsive and affordable services to effectively support a workforce of approximately 3,000 government employees. The Corporate Operations Department provides administrative and technical services to all of NUWCDIVNPT including NUWC HQ in the areas of data gathering and analysis; technical writing; preparation of graphic material; data entry; database maintenance and administration; and software verification maintenance. The department also provides administrative research, analysis, and support services that include researching solutions; maintaining, reviewing and assessing compliance with governing guidance; and documenting, preparing, organizing and distributing all forms of communication.
Reporting to the Program Manager, the Administrative Assistant is responsible for providing administrative support, include data entry, calendar management, room reservations, answering phones, office supply management. Additionally, responsibilities will also include typing award documentation, revising documents such as speeches or news presses, maintenance and generation of spreadsheets on the Code 10 Administrative Support Services contract. This position is located in Newport, RI.
What You'll Do:- Support the Deputy Technical Director and command Chief Engineer as needed.
- Maintain Microsoft Outlook calendars.
- Schedule meetings as needed.
- Field actions and requests.
- CHENG Council
- Schedule and run bi-weekly (in-person) meeting of each department’s Chief Engineers.
- Prepare and send out meeting agendas.
- Record and produce meeting minutes capturing essential elements of each meeting.
- Assist with briefing and presenting of certain topics.
- Schedule and run bi-weekly (in-person) meeting of each department’s Chief Engineers.
- Newport Project Management Dashboard
- Manage database containing all active technical projects at the command.
- Update and create new project entries as needed.Conduct quarterly data calls for each project, analyze each submission, and prepare presentation of topics to the Deputy Technical Director and command Chief Engineer.
Command Level Reviews
Draft center-level action item requests for individual projects to prepare briefs to the Deputy Technical Director and command Chief Engineer.
Maintain databases containing records of past and upcoming reviews.
Critical Project Execution Reviews
Draft center-level action item requests for individual projects to prepare briefs to the Commanding Officer and Technical Director.
Maintain databases containing records of past and upcoming reviews.
Standards Review Board
Screen emails for Newport responsibility and action. Forwarding applicable emails to the command Chief Engineer as necessary.
Systems Engineering Proficiency Program
Serve as point of contact for development of a Systems Engineering Proficiency Program
- Bid and proposal support if requested.
- Other duties as assigned.
Required Qualifications:
- An active secret clearance is required to be considered for this position.
- HS Diploma required.
- Three (3) years of experience in administrative support, including data entry, and calendar management.
- Proficiency in calendar management (demonstrated ability to schedule meetings, manage reminders, and keep calendars synchronized)
- Excellent scheduling and organizational skills (experience prioritizing tasks, managing multiple deadlines, and staying organized)
- Must possess basic computer literacy and data entry skills.
- Demonstrated proficiency in Microsoft Office applications (to include MS Word, Excel, PowerPoint, etc.).
- Strong attention to detail and organizational skills.
- Excellent verbal and written communication skills.
- Demonstrated problem-solving skills.
- Must possess strong time management skills.
- Must be able to work in a fast-paced, changing, and challenging environment.
- Must be able to remain seated in a stationary position 50% of the time. Must also be able to alternate between sitting, standing, and walking.
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.
