Responsibilities:
The administrative assistant will assist in the coordination of office activities and operations while providing clerical and administrative support to senior and executive level management.
- Provide administrative support to a senior group or executive including answering telephones, scheduling conference calls, luncheons, etc.
- Completes a broad variety of administrative tasks for the CFO, CHRO, and other C-level executives including answering telephones, scheduling conference calls, scheduling luncheons, etc. managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, creating itineraries and agendas; and compiling documents for committee meetings.
- Maintain detailed calendars and prioritize meeting requests and logistics. Arrange all aspects of travel.
- Interact with clients, co-workers and the general public in a professional and effective manner.
- Coordinate day-to-day administrative activities, necessary office functions, and ensure that administrative support concerns are handled efficiently.
- Prepare and distribute memos, letters, faxes, reports, meeting minutes and other documents as requested.
- Assists with overseeing that all office equipment is fully operational and keeping office supply inventory stocked.
- Assist with special projects and any additional needs of all divisions of Administration
- Provide coverage at reception desk as needed.
- Perform other related duties as requested.
- Associates degree required; Bachelors’ degree preferred
- At least three years of strong experience supporting C-level executives is required Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required.
- Attention to detail. Ability to maintain high standards despite pressing deadlines.
- Excellent verbal and written communication skills
- Strong initiative with a great sense of anticipation
- Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.
- Must be able to prioritize a variety of time sensitive tasks. Consistently display the highest degree of integrity, professionalism, confidentiality, diplomacy and discretion.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift 15 pounds at times
