Title: Administrative Assistant
Position Type: Temp-To-Perm
Location: New York, NY
Hours: 9am - 5pm
Salary: $29 per hour
Our client, a reputable engineering and design firm specializing in mechanical, life safety, ventilation, plumbing, and energy systems, is seeking an Administrative Assistant. The successful candidate will have some accounting experience and HR onboarding expertise. This role will be responsible for ensuring the smooth operation, coordinating administrative tasks, and providing exceptional customer service.
Responsibilities:
- Coordinate new hire onboarding process
- Prepare and distribute new hire packets
- Conduct benefits enrollment and orientation
- Ensure compliance with HR policies and procedures
- Familiarity with Advantage, Deltek accounting software or equivalent accounting software
- Assist with special projects as assigned
- Assist with accounts payable and accounts receivable
- Process invoices and expense reports
- Maintain accurate financial records and spreadsheets
- Assist with monthly closing procedures
- High school diploma or equivalent required; associate's or bachelor's degree preferred
- 2-5 years of administrative experience
- Proficient in Microsoft Office Suite (Excel, Word, Outlook)
- Excellent communication, organizational, and time management skills
- Engineering background, ideal but not required
- Demonstrates attention to detail in processing vendor invoices, accounts payable/receivables.
