Calling All Rockstar Assistants! Are you looking to join a busy team and make an impact across the firm?
The person in this role will be directly supervised by the Managing Partner and the Administrative Manager. They will be responsible for assisting the Managing Partner and Administrative Manager with the daily operations of the Firm. They will assist in the maintenance all firm policies and protocols. They will assist in the management of the firm website, social media, and other marketing endeavors. They will interact with a third-party IT vendor on a regular basis. They will assist in all recruitment, onboarding, human resources activities and maintain records.
Responsibilities:
- Provide day-to-day administrative support to the Managing Partner and Administrative Manager
- Schedule meetings and prepare all relevant materials
- Filter, sort and route emails
- Draft, update and revise documents, materials and templates
- Interact with vendors and clients
- Update and organize data
- Draft administrative documents
- Assist in the onboarding of new employees
- Assist in training new employees on office procedures
- Make edits and updates to policies and procedures
- Other administrative tasks as needed
Requirements:
- Experience supporting and working closely with managers
- High emotional intelligence, interacting with other with compassion and empathy
- Ability to work independently and collaboratively in a fast-paced environment
- Base knowledge of human resources administration a plus
- Base knowledge of IT infrastructure and web-design a plus
- Bachelor's degree with graduate level education in business administration or communications a plus
The person in this role must be creative, innovative, bright, a problem solver, an out of the box thinker, and possess the following qualities:
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite or related software
- Organizational skills and willingness to handle many projects
- Excellent interpersonal skills
- Ability to act with discretion, tact, and professionalism in all situations
- Ability to maintain records and produce reports
- Extreme attention to detail
