Our client, a leading global asset management firm headquartered in Midtown, is looking for a long-term temp Admin Assistant to support a Senior Managing Director (and supplemental support for other professionals) within their Charitable Foundation arm. This person will be providing coverage for a parental leave. The assignment will begin in the first or second week of July, with a contract through the first week of January (to allow for a week or so of overlap). This role will follow a hybrid schedule - Mon-Thurs onsite, Fridays are remote. The hours are 9am-5:30/6pm Mon-Fri + OT as needed (they will provide a heads up if they anticipate any after-hours work). The hourly pay rate is up to $45.00/hr DOE.
Responsibilities:
- Managing calendar(s) including scheduling internal and external appointments, confirming meetings, coordinating with other assistants
- Answering calls and acting as a gatekeeper
- Acting as back-up support for other professionals in the department
- Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor's system
- Completion of detailed corporate expenses including tracking receipts and reimbursements
- Coordinating travel arrangements - primarily booking cars, hotels, and other reservations
- Assist with a variety of bespoke projects, including event planning, strategic operations, and process improvement initiatives
Qualifications:
- 5+ years of administrative assistant experience supporting a senior-level executive
- Strong communication skills; high EQ
- Highly organized with strong attention to detail
- Ability to multi-task and prioritize competing tasks and deadlines
- Perform duties with the highest level of confidentiality and integrity
- Experience with coordinating travel arrangements
- Familiarity with Concur is preferred
- An autonomous worker with strong follow-through skills
- Ability to build relationships with key players and management
- Extensive familiarity with Microsoft suite, particularly Outlook
