We are seeking a dynamic and experienced Administrative Assistant to join our fast-paced construction team. Responsibilities:
- Provide comprehensive administrative support to the project management team, including scheduling, correspondence, and document control.
- Coordinate and monitor project activities, ensuring all tasks are completed on time and within budget.
- Serve as a primary point of contact for vendors, managing relationships and negotiating contracts to secure the best value for our company.
- Oversee office operations, including inventory management, equipment maintenance, and office supply procurement.
- Manage front desk duties, such as greeting visitors, handling incoming calls, and maintaining a professional and welcoming office environment.
- Prepare regular reports on project progress and status, providing insights to guide strategic decision-making.
- Assist in the creation and implementation of project plans and timelines, contributing to the successful execution of construction projects.
- Coordinate and manage meetings, including agenda preparation, minute taking, and follow-up actions.
Qualifications:
- Minimum of 5+ years of experience in an administrative role within the construction industry.
- Proven experience in project coordination, vendor management, and office administration.
- Exceptional organizational skills with the ability to manage multiple tasks, set priorities, and meet deadlines.
- Strong communication and interpersonal skills to effectively liaise with team members, vendors, and clients.
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
- Experience managing a front desk, including handling incoming calls and greeting visitors.
- Knowledge of construction processes and industry best practices is a plus.
- Ability to work well in a fast-paced, team-oriented environment.
- High school diploma required; associate's or bachelor's degree in a related field preferred.
