You will be the backbone of our team, providing high-level administrative support to our staff and ensuring that our office operations run smoothly. Your day will be filled with a variety of tasks ranging from managing calendars to scheduling meetings, making this role ideal for someone who enjoys diversity in their work.
Responsibilities:
As a Permanent Administrative Assistant, your duties will include:
1. Managing and maintaining schedules, including scheduling travel, making appointments, and making changes to appointments.
2. Answering and managing incoming calls, taking notes, messages, and routing correspondence to the appropriate executive.
3. Handling confidential information in a professional and discreet manner.
4. Preparing reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings.
5. Handling and managing expense reports to ensure timely and accurate reimbursement.
6. Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects.
7. Providing general administrative support such as preparing correspondence, forms, and reports, arranging meetings, composing regular correspondence, processing confidential reports, and documents, filing electronic and hard copy, tracking deadlines, and coordinating project timelines.
Qualifications:
The ideal candidate for the Permanent Administrative Assistant position should have the following qualifications:
1. Proven experience as an administrative assistant or in a similar role with 2+ years of experience.
2. Proficiency in MS Office Suite, particularly MS Excel and MS Word.
3. Experience with calendar management and scheduling appointments.
4. Proficient in managing multi-line phone systems.
5. Experience in handling and preparing expense reports.
6. Knowledge of Accounts Payable (AP) processes.
7. Excellent organizational and time management skills.
8. Strong verbal and written communication skills.
9. Ability to multitask and prioritize work.
10. Attention to detail and problem-solving skills.
