Job DescriptionThe Administrative Assistant is part of the Ubrelvy Marketing team and supports Marketing Directors and Associate Directors, with secondary support to the full marketing team. The role will require an "all hands-on deck" mentality as day-to-day needs and tasks may change based on needs. Must be flexible, have a team mentality and be able to work in a fast-paced environment. Microsoft Office skills (Outlook, Excel, PowerPoint, Word) and attention to detail are a must. The ability to coordinate meetings with complex schedules, make travel arrangements and submit expense reports and purchase orders is required. This role will also occasionally be responsible for meeting/event planning and booking.
Responsibilities:
- Provides administrative support to the Marketing team. May provide back-up support to higher-level management as needed.
- Interacts with high-level executives and handles confidential or business-sensitive information.
- Coordinates and books travel
- Tracking and submission of expense reports
- Follows company purchasing and other established procedures. Supports leader colleagues with any and all purchase order requirements in accordance with AbbVie’s policies.
- Proactively identifies and resolves scheduling conflicts.
- Maintains and manages calendars, including meeting and travel scheduling and domestic and international travel arrangements as per travel / expense reporting
- Orders business cards, stationery and other supplies.
- Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.
- Coordinates new employee office set-ups and onboarding.
- May train/coordinate work for new administrative assistants.
- Operates with general instruction and some supervision.
Qualifications:
Required:
- High School diploma or equivalent. Some college preferred.
- 3+ years previous admin experience or equivalent.
- Basic to intermediate knowledge of Microsoft Office Suite, Adobe Acrobat, Outlook, and other key office productivity suites, and understanding of business processes and requirements.
- Self-starter and able to function at a high level with general instructions.
- Builds strong relationships with peers and cross-functionally team oriented and can-do attitude to be a proactive contributor to the organization.
- Learns quickly and is flexible to change course quickly when needed.
- Strong written communication skills, able to interact with internal and external colleagues clearly and concisely.
- Uses and understands Microsoft Office suite and understands virtual meeting technology.
- Professional demeanor and able to maintain confidentiality.
- Acts with a sense of urgency and drive for results recognizing the Marketing team’s contributions to the business and serving our patients.
- Team-oriented, can-do attitude and desire to be productive contributor to overall organization.
Preferred:
- Previous experience supporting Commercial teams.
- Experience working within the pharma industry.
