The Administrative Assistant receives direction from assigned management personnel. The incumbent in this position schedules appointments, greets visitors, gives information to callers and otherwise relieves officials of clerical work and minor administrative and business detail.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greets scheduled visitors and callers, and directs them to appropriate area or person
- Perform clerical duties related to department activities such as typing, filing, distributing mail, making scheduling calls and answering phones
- Searches marketing databases on weekly basis and compiles Excel spreadsheet to track sales opportunities
- Composes and types routine correspondence
- Organizes and maintains file system, and files correspondence and other records. Creates and maintains database and spreadsheet files
- Answers telephone calls, and arranges conference calls
- May coordinate manager’s schedule and makes appointments
- May arranges and coordinates travel schedules and reservations
- Performs a wide variety of complex, responsible, and confidential administrative duties for management personnel
- Researches, compiles, and analyzes data for special projects and various reports
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
- Makes copies of correspondence or other printed materials
- Prepares outgoing mail and correspondence, including e-mail and faxes
- Orders and maintains supplies, and arranges for equipment maintenance
- Assist other AA’s and other departments with administrative support as needed
- Participates in Miami area meetings with supervisors and staff
- May travel to meetings
- Other duties may be assigned

High school diploma or general education degree (GED); and at least five years related experience and/or training; or equivalent combination of education and experience required.
Ability to apply common sense understanding to carry out instructions furnished in written, orally, or in diagram form and the ability to deal with problems involving difficult situations are required. Individual must also have good multi tasking skills.
COMPUTER AND OFFICE EQUIPMENT SKILLS
Microsoft Office Suite, 10-key calculator, facsimile machine, typing of at least 40 words per minute, copy machine and telephone
