Icon V is currently seeking a highly organized and detail-oriented Administrative Assistant to join our team. In this role, you will provide crucial support to our team by handling various administrative tasks and ensuring smooth daily operations. As an Administrative Assistant, you will be the first point of contact for internal and external stakeholders, making this a pivotal role in maintaining effective communication and coordination within the organization.
Responsibilities
- Efficiently manage and prioritize incoming correspondence, including emails, phone calls, and mail
- Schedule and coordinate meetings, appointments, and travel arrangements for team members
- Prepare and distribute memos, letters, and other official documents as needed
- Assist in organizing and maintaining physical and electronic files and records
- Regularly update and maintain databases, spreadsheets, and other tracking systems
- Conduct thorough research and compile data for various reports and presentations
Requirements
- High school diploma or equivalent; additional education or certification is a plus
- Proven experience as an administrative assistant or similar role
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Excellent written and verbal communication skills
- Strong attention to detail and ability to multitask efficiently
- Exceptional organizational and time management abilities
- Ability to maintain confidentiality and handle sensitive information with discretion
