Job Summary:
The Administrative Assistant will provide comprehensive administrative support to ensure efficient operation of the office. This role involves a variety of tasks related to organization and communication, including managing schedules, coordinating meetings, handling correspondence, and assisting with various administrative projects. The ideal candidate will be a proactive problem-solver with excellent communication skills and attention to detail.
Key Responsibilities:
- Office Management: Manage office supplies inventory, ensuring availability and ordering as necessary. Maintain a clean and organized office environment.
- Scheduling and Coordination: Schedule and coordinate meetings, appointments, and travel arrangements for executives and team members.
- Communication: Handle incoming and outgoing communications, including phone calls, emails, and mail. Draft, proofread, and edit correspondence, reports, and presentations.
- Record Keeping: Maintain and update electronic and physical filing systems, ensuring data accuracy and confidentiality.
- Project Assistance: Assist with special projects, research, and data analysis as needed. Support various departments with administrative tasks.
- Customer Service: Greet and assist visitors, clients, and vendors in a professional and courteous manner.
- Event Planning: Organize company events, meetings, and conferences, coordinating logistics and ensuring smooth execution.
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Strong organizational and time-management skills
- Ability to multitask and prioritize tasks effectively
- Attention to detail and problem-solving skills
