We are seeking an Administrative Assistant to provide general administrative support to our Materials Management department.
This position provides general administrative support to department management and department staff in office administration, daily tasks and operations, and special projects. Compiles and prepares information for department reports, contracts, and budgets. Relieves department management of routine administrative duties such as filing, typing and data entry, making copies, distribution, mailing, etc. Responsible for receiving stock and non-stock items, coordinates resolution of discrepancies with Accounts Payable. Anticipates department needs and plans projects to meet deadlines and ensure efficiency in the department.
This is an on-site position in Gainesville, Virginia. The normal work hours will be Monday through Friday from 7:30 am to 4:00 pm.
Essential Duties and Responsibilities will include, but are not limited to, the following:
- Compiles and prepares reports and information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics, and maintaining department databases and software to ensure continuity of accurate and current data and information.
- Provides technical and general administrative support to department staff and management, to maintain and process department schedules, and reports.
- Reviews and assists in policy and procedure development to improve organizational effectiveness and department customer service.
- Assists in the development and implementation of department contracts including preparation of RFQs.
- Maintains budget files, collects data, prepares budgets as directed, and submits quarterly department variance reports.
- Researches, reviews, and processes invoices for payment.
- Works continually towards self-development to maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices and participating in professional societies.
Education and Experience:
- A high school diploma or GED is required. Additional specialized/technical training in computers is preferred.
- Two to three years of related experience and/or training including office administration, secretarial support, database management, financial analysis, budgeting, accounts receivable, accounts payable, collections, and report management is required.
- Basic understanding of general accounting practices.
- Intermediate MS Excel skills.
- Experience with inventory management systems and bar code systems is preferred.

Demonstrated ability to function independently in a multi-task environment, as well as part of a team.
Demonstrated knowledge of all company policies and procedures as well as all applicable federal, state, and local laws.
Demonstrated knowledge of generally accepted accounting principles and mathematical skills.
Demonstrated intermediate-level proficiency with general computer operation and Microsoft Office applications.
Demonstrated ability to communicate effectively and efficiently with all levels within the organization.
Demonstrated ability to anticipate and meet rapidly changing customer and business needs by quickly refocusing and realigning strategic and operational direction.
Demonstrated ability to consistently and accurately process data and information and carry out assigned responsibilities with minimum supervision.
Demonstrated ability to meet multiple and sometimes conflicting deadlines.
Demonstrated ability to handle and maintain the integrity of sensitive material, confidential business data, and human resources information.
Demonstrated knowledge of company terms, policies, and procedures to efficiently and effectively direct the flow of information.
