Job Description
You MUST have at least 3 years experience working with QuickBooks.
The new Full-Time Administrative Assistant/Manager will be required to fulfill the following:
- Fulfilling the role of a secretary by answering and documenting incoming calls and dispatching technicians to the appropriate service calls in an orderly manner that allows technicians to operate smoothly within the field. This task requires that the assistant can handle the pressure of multiple calls coming in at once and be able to handle the fast-paced summer season by ensuring that the technician/business calendar is continuously up to date.
- Communicate with customers by updating them on approximate arrivals of technicians and documenting their equipment malfunctions in detail so the technicians can arrive on sight and easily begin resolving the issue.
- Keep track of employee hours as well as incoming invoices from the field whether the invoices are prepared physically or by email.
- Frequently communicate with technicians in the field so you can order parts and update the technicians on their next move once they are completed with a job. This task also requires being able to interpret photos of serial numbers and product descriptions to be able to call various HVAC supply houses over the phone or online to order the specific parts needed.
- Orchestrate bookkeeping processes by entering information in QuickBooks: accounts receivable, payable information, and keeping track of past-due accounts.
- Coordinate weekly with the principal of the company to finalize invoices and send bills to customers.

- At least 3 years experience working with QuickBooks and bookkeeping
- Communication skills with fellow colleagues and customers
- Everyday trouble shooting skills when complications arise within the office itself
- Willingness to learn about the inner workings of an HVAC company if you have not previously worked with one before
- Punctuality when arriving to work each day
- Work under pressure and time constraints during peak seasons and beyond
- Maintain a clean and professional appearance
- Understand customer needs and be able to suggest the best course of action to solve their problems
